The task I’m wanting to do relates to when a customer wants to order a custom made item from us, we need to capture the detail; internally approve and then create an agreement and send to the customer for eSignature.
Now, I can do this in DocuSign, a couple of forms and some workflow, but I want it to be in HubSpot and then we can attach it to the Contact and Company record etc..
I started looking at HubSpot forms but they seem to be about lead capture.
I then looked on the marketplace and saw an integration to FormStack and FormStack Documents - that may do the trick but there’s no “try before you buy” option.
Anyone ever tackled something similar ?
Essentially
1. Customer or Employee captures customer requirement (answers to x questions) = RequestForm
2. RequestForm sent to x internal HubSpot users for approval
3. Once approved, use the RequestForm data to generate an Agreement document, send to customer to DocuSign
4. Completed DocuSign agreement attached to contact and company record
I thought someone may have tried something similar before without needing to revert to a bespoke coded solution ?
Hi @DOakes , if you’re considering a 3rd party solution to help you build such a workflow, we’d be happy to help with Gluetrail!
We’re a no-code SaaS to build internal tools, tightly integrated with HubSpot.
With Gluetrail, you could build something like this:
- a web-based or (Slack/chrome extension based for employees) form
- when the form is filled, request approvals: you can design multi-approvers processes (email/Slack based). You can keep an audit trail of the approvers’ actions in HubSpot too.
- generate a document merging information from HubSpot and/or the form
- send the pdf document to Docusign and attach it to a company/contact in HubSpot when completed
Happy to chat about your requirements further and show you how it would look like ! We’re also running 14-day free trials so you can test.
Hey @DOakes
How’s it going?
We have an document automation app for HubSpot called Portant. It can automate documents from Deals, Contacts, Companies or Tickets and can use all data including custom objects and properties. It works like this:
A HubSpot user can click a button in the HubSpot Deal/Contact page and generate the personalised document from details in the associated data.
This document can then be held in an approval stage until someone from your team reviews and approves the document.
Then the document can be automatically converted to a PDF and emailed to the customer to be signed.
Here is a video with a few more details:
Does that sound helpful? Do you want the order details to be stored and associated with the Deal/Contact on HubSpot too? You could store these details on a Line Item (or a custom object if you want).
We have some docs to help you get started: HubSpot | Portant Docs but if you need any additional help, please feel free to email me james@portant.co and we can set up a call.
Cheers,
James - CEO @ Portant
Hi James
Regarding the starting point for the process I’m looking at. I need my users to create a form describing the product the customer wants, this then needs internal approval before then being converted to a document for the customer to eSign
As it wasn’t quite covered by your 60 sec demo video, I wondered if/how Portant could be used for this ?
Thanks
Really thoughtful use case—especially for teams handling custom orders or internal approvals before sending agreements. If you’re still exploring options beyond Formstack, you might want to check out SparkGrid’s Box Connector for HubSpot. It’s built for exactly this kind of workflow.
With it, you can:
Capture customer requirements via HubSpot forms or custom objects
Route those submissions through internal approval workflows using HubSpot automation
Once approved, auto-generate a contract or agreement using the captured data
Trigger an e-signature request via Box Sign, DocuSign, or Adobe Sign
Store the signed document in a Box folder tied to the HubSpot contact, company, or deal
Log every step (submission, approval, signature) in the HubSpot timeline for full visibility
It’s a no-code solution that keeps everything inside your existing HubSpot + Box stack—no need to bounce between tools or build custom integrations. Let me know if you’d like a quick walkthrough!
