Exporting Activities

Hi,

I am wondering if there is any option for exporting a full list of activities associated to companies? We are able to export the list of contacts or companies with different format, but I couldn’t find any option for downloading the list of activities.

There is no native option within HubSpot to directly export all activities (e.g., emails, calls, meetings, notes, tasks) associated with companies from the UI like you can with contacts or companies.
However you can Use HubSpot Custom Report Builder to achieve this.

Here are the steps:

  1. Go to Reports; Click on Create report
  2. Choose Custom Report Builder
  3. Use Activities and Companies as data sources
  4. Add activity type, date, owner, etc., as columns
  5. Filter by activity type or date range if needed
  6. Once the report is ready, click the Actions > Export to download as Excel/CSV

This is a workaround you can use. Let me know if you have any further queries.

HubSpot doesn’t have a direct option to export activities, no, but you can work around it by creating a custom report, then exporting the report:

The approach here would be as follows:

  • Build a report based on the data sources companies + activities
  • Create a table view and include all company and activity properties you’re interested in
  • Export report

Without a Professional and Enterprise subscription, this is not possible. In that case, you’ll either have to work with the API or leverage an app from the HubSpot ecosystem: Accounts Dashboard | HubSpot

Thank you very much for providing the overview on how to build a report to export Contact activities (e.g., emails, calls, etc.).
Once I’ve prepared this report, is there any way to import these activities into a new HubSpot instance (where I’ve already imported the Contacts without activities). Net/net, I’m trying to export contacts and activities from one HubSpot instance, and then import the Contacts (with activities) into another HubSpot instance.

If you truly want to export activities, rather than use a report, I would recommend Ultimate Data Export, a HubSpot Marketplace app I have used for exporting engagements and migrating them to other portals or platforms. It will export all of the data from your HubSpot portal.

Please note, however, that the object associations will be exported in a different file, so you’ll need to do some spreadhseet work to combine the two so you know which activities are associated with which Companies.

Definitely look into using Coefficient for Sheets or Excel. Makes it a lot easier to work with the HubSpot data.
