- Who (what type of role or team) is the feature for?
Admins, Operations, Managers
Audit the permissions for properties so we can change permissions.
- What value will this add?
It will reduce a lot of time. Instead of going through each property one by one, it would be ideal to export Property Access, then we could do a spreadsheet formula to change the permissions based on logic.
- Screenshots, pictures, drawings, process diagrams, are helpful.
Right now, these are the fields exported when exporting properties:
Name
Internal name
Type
Description
Group name
Form field
Options
Read only value
Read only definition
Calculated
External options
Deleted
Hubspot defined
Created user
Usages
It would be helpful if Property Access was added to that.
Agreed, we need Property Access information on the Export. Also, need easier way to find property access on webpage when defined for users.
Below are two findings when attempting to view Property Access Information specifically for users.
1) Slow performance - performance keeps getting worse as more users are defined. Took over 25 seconds to present the user list for large # of users. Expect to add more in upcoming months, so performance will continue to decline.
2) No Filter - right now, you have to scroll through the user list to find “the checkmarks” for who has access to the property - this is extremely cumbersome when have large # of users. Need a filter defined to see only the “assigned users” OR list should be displayed with assigned users at top.
I have to make a “glossary” of properties to share with a team that isn’t particularly tech savvy. Different properties are assigned to different teams, and I need to be able to indicate that. If someone on my team sees a property listed in this “glossary,” but don’t see it in HubSpot, it will cause massive confusion.
As of right now, the only way to accomplish this is to look at almost 700 properties one by one and manually fill in each cell who has “Property Access” to which properties.
Obviously this is not a reasonable use of time. This feature is already built into the system, it just needs to be displayed during an export. This is very similar to another gripe I have, where we are also unable to see the date that a property was created, whether in an export or in HubSpot itself. Another case where the information is available and just not being shared with the people who need it.
There is another Community post requesting a similar feature-- they want to export properties based on who they are assigned to. Giving the ability to see who has “Property Access” in an export would still leave this user needing to sort and remove rows from their spreadsheet, but would still allow them to accomplish their task. Be sure to comment on and upvote this post as well to emphasize the importance of the need for this feature.
More information needs to be made available during property exporting.
Agreed - This is fundamental for ISO Quality and Risk Assessment Audits!!
Please! Every time I have a new user I have to go property by property to make sure they have the right access - HUNDREDS of properties. Please fix this!
