Data Sync by HubSpot - NetSuite User Role Issue

Hi,

We have recently been transitioning from PieSync to the native HubSpot Data Sync for our NetSuite/HubSpot integration and have now gone live, with a like for like sync between contacts in both systems.

The only issue we had was that we had to use a different NetSuite user role for the integration as the one provided by HubSpot did not contain a required permission to be able to see the Campaign records in NetSuite. This wasn’t difficult as we just needed to clone the HubSpot Sync Role that was provided and add the Lists - Campaign permission to it and then setup the NetSuite connection using access tokens linked to this role.

The reason we had to do this is that NetSuite has inbuilt functionality that is trying to set the default campaign category field whenever you save a contact record, regardless of which fields you are trying to set in the sync mapping rules, and this functionality attempts to set this by looking up the campaign used in the Lead Source field. We were seeing records being sent from HubSpot to update records in NetSuite but without the user role having access to the Campaign record the web services were reporting a failure. However, this was not immediately noticeable as fields were updating, but overall, the web services call had a failure status. We noticed the issue as we had NetSuite workflows that we use to “tidy up” certain contact data and these were not firing due to the failure.

Once we cloned the user role and added the permission then everything worked correctly.

Why am I posting this? Firstly, to let others know in case they see the same scenario, but mainly to alert the HubSpot product team and request that perhaps they add this permission to the default role they ship in the NetSuite bundle to avoid this issue for others in future update to the bundle.

We have actually tried to reproduce this, but could not see any errors on our end with regards to marketing campaigns. Could you let us know where you saw the errors (and an example of such an error)?Happy to take DM’s of course here. Please also clarify that the permission that you added is the “Lists --> Marketing Campaigns” as there is no “List --> Campaign” permission.

Hi – I don’t have access to the web services logs anymore so can’t share the exact message.
Regarding the Permissions then in NetSuite accounts I have access to it is known as Lists – Campaigns (see screen shot below). I guess it is possible that in your system it may be Marketing Campaigns, but I have not seen that before.

@ACox Peculiar - we are on the 2021.2 release and do not have it like this. You’re on a different version supposedly? (how to check)

We’re currently in a spot where we can’t fix the HubSpot Sync Role as we ourselves don’t have this permission the way you have it. For now I suggest we just leave it at that, but we’ll definitely stay vigilant of course to other users potentially raising the same issue. For now, that hasn’t been the case.

Hi – I have just double checked and this is just a localisation thing.
In English UK the permission is called Campaigns and in English US it is known as Marketing Campaigns – so we are talking about the same thing after all!
