CRM notifications not working

I’m troubleshooting missing notifications for Meta lead ads in HubSpot. Test leads are syncing successfully and appearing in Contacts, so lead sync is working. I confirmed the Facebook page is connected under Lead syncing, and all relevant options in Notifications are enabled, including form submission channels. However, no notification is received by email, browser, bell, or mobile app when a new Meta test lead is created. On the ad’s Ads Automation screen, I could only see “Add contacts to a segment” and not a visible “Send new contact notification to” option. Can you confirm whether Meta lead ad submissions should trigger notifications in this setup and what setting is missing?

Hard to say without looking into your account specifically. Absent those details and some testing, I would recommend creating a custom notification workflow in the short term. I’m a fan of sending notifications to a Teams/Slack channel. Highly visible and people can comment in a thread.

Hey @WrathReaper,

Great question!

Notification triggers for Meta lead ads can behave differently than standard form submissions. It could definitely be worth trying out @Derek_Reynolds suggestion. Additionally, you could check out this FAQ here as well while we wait for some more input from the community:

Hope this helps!

Hey @WrathReaper ,

What you describe is lead sync working as it should, so nothing is broken there. The problem is the notification settings you activated don’t include Meta lead ads.

The “Send new contact notification to” option is part of the ad’s own automation settings, and it generally only appears for lead ads created through HubSpot’s ads tool. If your ad and lead form were built in Meta and then synced into HubSpot, you will usually only see options such as adding contacts to a segment, which is what you are seeing. So this is expected behavior rather than a missing setting.

The most reliable workaround is a workflow. Create a contact-based workflow that enrolls contacts when a Meta lead is created, then add a “Send internal email notification” action (or an in-app notification or task) for the right user or team. Since HubSpot records Facebook lead ad conversions as form submissions, you can try triggering on that submission, or on the contact’s original source being paid social with Facebook as the source detail. Test it with a new lead and check the enrollment history to confirm it fires.

A smaller point: leads created with Meta’s test tool don’t always behave exactly like real submissions, so it is worth confirming with a live lead as well.

If you need to be notified through the mobile app or by SMS, I would build that into the workflow instead, because the ad-level notification option is email only.
