Contacts in multiple lists

Hello everyone,

I am rather a novice at HubSpot, so bare with me. The company I work for has a database of around 130,000 contacts, some of whom are members of multiple lists, both static and smart. Is there a way to filter my contacts to show only the ones assigned to multiple lists?

If a contact remains in multiple lists and an email blast is sent out to both lists, will that contact receive multiple copies of the same email?

I’m beginning a long-term clean-up project and I need to know if having a contact assigned to more than one list is going to negatively effect our open/bounce rate. Any insight on this would be greatly appreciated!

HI, this will largely depend upon how you are doing the email blast. So for example, Contact is on list A and list B. If you create one email and then send it with a criteria of, Is on List A or List B then they will receive it once.

However, if you do this in separate email blasts, e.g. send email 1 to list A and send email 2 to list B, then they will receive both emails.

I hope that helps

Thank you for the input.

If I send email 1 with no set criteria and no smart content and both list A and list B are added as recipients, would the contact then receive an email for list A and an email for list B?

Q: If I send email 1 with no set criteria and no smart content and both list A and list B are added as recipients, would the contact then receive an email for list A and an email for list B?

Short A: No.

Longer A: Try thinking of it like this …

Emails are sent to contacts. Not lists.

Lists are a way of grouping contacts that meet specific criteria. If a single contact is on multiple lists becuase they meet multiple criteria so be it.

One Email Send = One Email Received (by any single contact)

As @Tnichs mentioned above, the rules of engagement change should you decide to send a 2nd email (or worse -- resend the original email).

If you use workflows to send your emails and trigger those workflows using one or more smart lists (or static lists) you will clearly see who are candidates for sending (and how many times). Try a small test with yourself as a contact.

-1- Create few smart lists and add all of those lists to a workflow as enrollment criteria. -

-2- Make yourself a member of ALL ‘test’ lists.

-3- Check the Workflow enrollment criteria ‘Enroll existing contacts’ section and click the ‘Calculate number of contacts’ link to see the one contact who meets your enrollment criteria -- you! :slightly_smiling_face: (do a happy dance!)
