As a small company with only two users, we receive and send hundreds of daily emails. What’s the easiest way to separate leads, from vendors, associates, providers, etc?

Create a custom dropdown property by the name Contact Type and in the dropdown menu, give options like vendors, associates, providers, etc. And then assign the value to the contact. Check screenshot:
