Company Property Data

Do Hubspot forms overwrite company properties if multiple forms are submitted?

We are creating a form where contacts can register devices for our internal records. A single contact (or multiple contacts) can submit the form multiple times to register multiple devices. We want to create the registration field within the form as a company property (as the registration should be mapped to the company and not the contact), however I need to confirm that multiple form submissions will not overwrite the previous form submission’s data.

Hi @RFurber,

Form submissions will overwrite the previous value in a CRM field if the form is configured in a way that HubSpot can identify the record it’s pushing the information to. (For example, ticket forms would create a new ticket record, instead of updating the ticket just submitted.)

The form submission information will still be visible on the contact record who submitted the form, as long as the form contains a contact email address field. You can go back and revisit all submissions in the contact activity timeline: Filter activity index pages and record timelines

The submissions themselves are snapshots in time. The fields the forms are writing to will in most cases (see above) be overwritten. They’ll still be visible in the field history: View a record's property history

Best regards

To build on the above, the piece worth flagging is that because a single company property gets overwritten on each submission, using one property to hold device registrations means every new device quietly wipes the previous one, so you’d end up with only the last device on record. If you actually need to keep all of them, a company property is the wrong container for this. Model each registration as its own record instead, either a custom object associated to the company if you’re on Enterprise, or repurpose one of the default objects the way people do for tracking assets if you’re not. That way each form submission creates a new record rather than overwriting a field, and you keep the full history mapped to the company instead of just the latest value.
