Bulk Merging Duplicate Contacts

I’m looking into options for bulk merging duplicate contacts in HubSpot. Can you let me know if there’s a way to do this using HubSpot’s built-in features?

Also, are there any alternative methods or add-ons that might help with this process? I’d appreciate any recommendations or best practices you can provide.

Hi @SajidS5, I believe for bulk merging you will need Operations Hub. Additionally there is the automatic deduplication feature which will usually catch many of the duplicates on their way into the system.

I also wanted to mention that Insycle has really deep bulk deduplication features. Full disclosure, I work for them. But Insycle allows you to match duplicates using any field in your database as a matching fields. You can also set really deep data retention settings at the field-level, so you can ensure that you keep all of the data you want/need when merging. Then you can schedule daily/weekly/monthly, or even inject into HubSpot workflows. Might be worth checking out for your situation.

You’ll find it in the HubSpot App Marketplace, or you can create an account at https://dedupe.ly/. When you sign up, you’ll get a free trial and live unlimited customer service. It features automerging, merging rules, advanced searchpads, audit logs, unlimited merging, and pretty much everything you need to merge duplicates.

I’m in the process of building a solution to do merge duplicates AND check valid email before end.
issue is that often time, one email is invalid and with bulk merge it might become the master record.

Adding one more option since people are still finding this thread: if you don’t have Operations Hub and a full platform like Insycle feels like more than you need, it’s worth knowing HubSpot’s own dedupe tool only catches exact email/phone matches — it won’t catch things like “Jon Smith” vs. “John Smith” or a typo’d email. I built DataClean for that middle ground: fuzzy + phonetic matching on top of exact, a review screen before anything merges, free up to 1,000 contacts. (Disclosure: I built it, solo.)

HubSpot now has a built-in way to handle this. The Manage Duplicates tool can identify potential duplicate contacts and lets you merge them individually or in bulk. Bulk merging is available with Data Hub Professional or Enterprise.

For larger or more complex cleanup projects, tools such as Insycle, Koalify, and Dedupely are worth looking at. They offer more advanced matching and bulk deduplication options through the HubSpot Marketplace.

LeadAngel is another option if you also need deduplication alongside lead/contact matching. It can use customizable matching rules to identify and merge duplicate records.

Whichever approach you use, I’d recommend reviewing the merge criteria first and keeping a backup/export before running a large cleanup, since HubSpot merges can’t be undone natively.
