Merging similar contact

Hi - I was wondering if anyone knows how to do contacts merge/deduplication? (i.e. merging contacts with the same name but with different email addresses).

Hi @Mlho,

To merge contacts you can follow these steps: Merge records

If you want HubSpot to flag these contacts for you, that requires a Professional subscription: Deduplicate records in HubSpot

Lastly, there are also very strong third party solutions that integrate very well with HubSpot and which I recommend you check out: Koalify and Insycle.

Best regards!

Hey @Mlho, and thank you @karstenkoehler for the mention. I work for Insycle and wanted to shed a little more light on our duplicate merging features.

With Insycle’s Merge Duplicates module, you can dedupe any record type (contacts, companies, deals, custom objects) in HubSpot in bulk and automatically, using any field in your database as a potential matching field.

Then, you can set rules for determining the master record that duplicates will all merge into. For example, if you have 3 duplicates in a duplicate group, you can choose to determine the “master record” using any property in HubSpot. You can even set data retention rules all the way down to the field level, based on rules.

Then, you inject Insycle into HubSpot workflows, so that automatically after a company record is created (and before you communicate with them), the record is analyzed for duplicates and merged if one is found.

Here is the help doc that covers how it works to give you an idea.
