Hi all!
We have an integration that created a lot of noise, by creating a lot of Notes, with a note body with a certain string.
I want to delete all those Notes, but I have challenges:
1. I cannot "select all the Notes with the string “xyz” anywhere. Neither Lists nor Workflow triggers can be based on an Activity
2. I tried Insycle, a data management tool we use, but that also cannot find Activities
3. I tried to build a Custom Coded Workflow, but also there I can only start the work from Company level.
I am stuck, and also feel this is a prime candidate for a feature request, but maybe someone has any ideas?
FYI we are on Enterprise, and I am SuperAdmin
Hi @PSterkenburg,
I love to read this post, thanks for asking the Community!
You want to bulk delete the notes in HubSpot. Please correct me if that’s not the case.
I checked for you and you can bulk delete notes via API (see the thread below). Here is the documentation about it: “Delete notes”.
I also would like to share these similar threads that can help you:
- The solution from @karstenkoehler on this post “The Bulk delete Notes from Companies”
- You can upvote for the idea mentioned by @JessicaH on this post “Bulk delete empty notes”
- The solution from @jpsanchez on this post “Quick/simple way to delete all Contact Notes for all Contacts?”
I hope this helps!

Have a fantastic day!

Thank you @BérangèreL - very kind! I did find that API route as well, but it means finding resources to do it, and planning it in, etc etc. It would be a whole lot easier if it could be done out of the box. I will definitely upvote that idea, and contact our CSM as well.
Thanks again!
Hi @PSterkenburg,
It’s my pleasure to help!
Thanks for your valuable feedback, I will share it internally to bring more visibility to this topic.
I also wanted to invite a couple of subject matter experts to this conversation:
Hi @danmoyle, @Mike_Eastwood and @mangelet, can you think of workarounds for this, to help @PSterkenburg, please?

Thank you very much
and have a great day!

No workaround I’ve seen, sorry. The ideas forum and the API are the only solutions I know of. Sorry @PSterkenburg !
If you have the HubSpot operations hub, you could just create a custom code action within a workflow that would delete all the notes using the API. We’ve done the same thing to bulk delete old tasks.
I’m assuming since I don’t know what the “operations hub” is that I probably don’t have it? I have a zap that creates a note for a contact when an invoice in QBO is created. In making some edits in QBO, my zap decided all invoices from the beginning of time are now notes in Hubspot. it’s a mess. There is a string within the notes that I can filter for but then I still have to open each individual note to delete it. HOURS of my time would be spent doing this.
Can someone elaborate on the above solution in a way that someone with only basic computing skills can navigate?
