Auto-create tasks based on contact activity

I’m looking to create tasks through a workflow that triggers based on an activity taken by a subset of our clients/prospects, but I’m getting a lot of noise from our team’s activity using “last activity date is less than 2 days”.

Is there a better property to use for this than “last activity date”?

What sort of criteria qualifies activity for you? You might need to dive a bit deeper on activities like:

- Opened email

- Clicked CTA

- Submitted Form

- Visited page

These are just a few, there could be many more. In my mind, this could be difficult as I’d likely have a different set of tasks based on each of those criteria. Can you give a bit more detail about what you’re trying to accomplish?

Thanks for this - really I wouldn’t mind tracking any of these activities, independently or grouped. The way I’m currently qualifying activity is definitely wrong, the default contact property “last activity date”. This is pulling in all the contacts that have been worked in some way on our end (sent email, registered phone call) as well as if their own activity.

What I’m looking for is a contact property or combination of properties that generates a task for our team to follow up based on activity taken by our clients/prospective clients.

So if you’d just like to trigger tasks based on client activity here are some properties I would recommend:

  • Marketing emails clicked
  • Marketing emails opened
  • Lifecycle stage
    • Became a marketing qualified lead date
    • Became a sales qualified lead date
    • Became a customer date
    • Became an evangelist date
  • First marketing email open date
  • First marketing email click date
  • Last marketing email open date
  • Last marketing email click date
  • HubSpot score (this is a combo of properties you define)
  • Number of unique forms submitted
  • Time last seen

Some of these you can refine a bit more like, the marketing email activity where you can select particular emails and the links within them for a contact to interact with:

You’ll see there’s a lot of date fields, some of the “Last marketing email xyz” are there for you to place a count like “Is more than 90 days” so you could see what’s happened to that contact and maybe schedule a task to reach out if they’re a customer. The “First marketing email xyz” is there where I would recommend just a “is known” so that you can get notifications/tasks on when customers open/click their first marketing email.
