Set most recent contact timeline activity as happening after a specified date

Hello everyone! I am trying to create a filter for historical data in which I can only see those who have committed some sort of activity on the Contact Timeline in the past year. ‘Last Activity Date’ or ‘Activity Date’ do not work. I want to see anyone who was added as a new contact, opened an email, attended an event, clicked a social post, etc. Basically, the things you see on the Contact Record or Timeline. What is the correct filter for this? Many thanks in advance for the help!

“Last Activity Date” is a tricky one since it seems like it should get you what you’re after, but it actually pertains to sales activities (i.e., task creation, logged sales email, logged call).

You might find “Last engagement date” more valuable. Here’s the definiton of that property from this HubSpot Knowledge Base article:

The last date and time of one-to-one email opens and clicks, lead revisit notifications, meeting bookings, and form submissions on the contact record. This is set automatically by HubSpot based on the date/time set for an activity when it’s logged on the record only when the Contact owner property has a value.

This property may get you what you’re after, but it may also exclude activities that you would consider “engagements.” There are several additional engagement properties you can mix and match to identify your recently engaged contacts!

If you’re trying to use filters on the contact page, keep in mind that you only have “and” logic (so contacts need to meet all of the conditions you set in order to appear). I think this may be better built out as an active list for you to review using the following criteria:

  • “Create date” is within the last year
  • OR “Last marketing email open date” is within the last year
  • OR “Last marketing email click date” is within the last year
  • OR “Last marketing email reply date” is within the last year
  • OR “Recent sales email open date” is within the last year
  • OR “Recent sales email click date” is within the last year
  • OR “Recent sales email reply date” is within the last year
  • OR “Recent conversion date” is within the last year (this will pull in contacts who submitted a form)
  • OR “Time of last session” is within the last year

You get to define the actions and timelines that are impactful to your business. Just keep in mind that email opens are no longer a reliable metric following the iOS 15 updates (more info in this HubSpot blog post). And if you’re using these criteria to build a marketing list of engaged contacts, make sure that they’ve really taken a significant step (i.e., filling out a form, booking a meeting, downloading gated content) before treating them like an engaged prospect. Even if they took that action within the last year, a lot can change in the span of a few months. If I didn’t have any tracked engagement from a lead within the last 3 months tops, I wouldn’t consider them engaged.
