We have been using Hubspot for multiple years and have 4 different pipelines we have created over that time. We are only using one for on-going deals. Is there a way to archive the old pipelines and the deals that are assoicated with that pipe?
It would help a lot in keeping things clean but I don’t want to delete those pipelines for obvious reasons.
You’re welcome @JJPP, it really depends - the link I shared is nearly 2 years old, there are also many similar/duplicate posts asking for the same thing.
The ideas that get the quickest answers and gain the most traction are those that have a lot of upvotes and comments, and aren’t diluted by duplicates.
Unfortunately, when an idea is duplicated it makes it a lot harder to gauge the feedback and need, because the upvotes are spread across multiple ideas.
I’ve also seen ideas pop-up that are almost instantly implemented because they “make sense” for 99.999% of use cases.
All that to say, I wouldn’t count on it any time soon…
In your account, you can check Product Updates here:
Could you elaborate why you would want to archive pipeline and deals but not delete it? How would archiving and deleting be different?
Generally, you currently need to move all deals into another pipeline before you can remove the old one. There isn’t any way around that.
As @Jnix284 has pointed out, you could request this in the HubSpot Ideas section of the community. However, looking at the type of requests that were implemented in the past few years, it doesn’t feel like this one would make the cut. HubSpot hasn’t implemented a way to archive records or deals either, for example.
@karstenkoehler there is a really big difference between deleting a pipeline and the ability to archive one - if you move all deals from an old pipeline to a new pipeline, you can only map them over to closed won or closed lost. Once you delete the pipeline, you lose all historic data.
If you make a change to your sales process, for example there are a lot of companies that were creating deals much earlier (pre-qualification) rather than working from contact filters. Now that the Prospecting space is available and is intended for qualification, a lot of deal pipelines can be streamlined.
The historic data for those deals would be lost when the pipeline is deleted, I would imagine that archiving would retain data, associations, reporting, but would remove it as an active pipeline where you can create new deals or edit old deals.
@karstenkoehler managing access for a pipeline removes visibility from the pipeline, but then it is also removed from visibility on the contact record.
If Rep A sold Deal 1 and Deal 2 in the old pipeline for Contact X, they would lose visibility to those deals on the contact record and not have context when working on Deal 3 in the new pipeline.
I want to create a clean way to view our active pipeline that retains the context of every conversatiton we have had with a prospect and their company.
Deleting data is not an acceptable solution because that would remove important context related to our interactions with prospects and their companies over the last 5+ years.
But right now the old deals and old pipeline are clogging up our hubspot instance. When you go to an account page closed won, lost, and abandond deals from years past come up first rather than the open deals in our current pipeline. When you open a new deal it defaults to the wrong pipeline. When creating reports and dashboards you have to sift through old pipelines to do it.
All of this adds to the operational overhead of using Hubspot. It seems very unlikly that submitting a feature request on the forms will lead to a timely solution.
I have two follow up questions that could help me roll out a workaround:
Is there a way for me to change the defaults so that when you create a deal it goes to the right pipeline?
Is there a way to set a default view so deals in the current pipeline apear first across the platform?
You have two follow up questions that could help me roll out a workaround:
1) Is there a way for me to change the defaults so that when you create a deal it goes to the right pipeline? Yes, you can do this with a Workflow
2) Is there a way to set a default view so deals in the current pipeline apear first across the platform? Yes you can create a saved view with the pipeline and the filters you need and saved it favorites. Although you cannot make it the primary screen for all users when arriving in the deals section, you can show them how to see this saved view first like this
You’re welcome @JJPP, sorry I didn’t ask the simple question sooner, what are you trying to solve for, I’m glad we could get the answer you needed though!
(coming soon we 'll be able to restrict access to users/team per pipeline -maybe first with Enterprise and then in PRO)
so in the future you 'll be able to restrict the team creating deals in that old pipeline.
What I’d do Now is put in the name Pipeline X (old/Do not use)
you could migrate the closed deal intro the current pipeline you are using.
In the future, when you no longer use that pipeline in reports) you should delete it.
As for ideas in the forum, they take time to be upvoted and noticed by product team. You can still post the idea there to get upvotes (maybe more people is needing this too)
Having the feature of being able to archive a pipeline would help. I don’t want to loose data but I need to be able to look at out client targeting pipelines and review what worked and what didn’t.
I have saved deals into a list to review the data, but once the pipeline is deleted, you lose all that data.
As a work around I have renamed the pipeline with archive but when I pull properties into my power BI reporting all pipelines are being pulled through. Their is no filter to archive.
Do you have an update on when this feature will be created in HS?
