Description
Today, the quick actions that appear in the Global Search are fixed and determined by HubSpot based on the object or asset type (e.g., Call, Email, Add note, Edit, View recipients, etc.). These are helpful, but they’re not always the best fit for each team’s most common workflows.
For example, different teams prioritize different actions:
- Sales may primarily need Log call, Create deal, or Create task.
- Support may want Create ticket, Assign ticket, or Add comment.
- Marketing may care more about Edit, Clone, or View performance on assets.
Because the quick actions are not configurable, users sometimes see actions they rarely use while the actions they use dozens of times a day are not surfaced, which slows down power users and makes it harder to drive consistent processes.
Proposed improvement
Add a way to customize Global Search quick actions, ideally with both user-level and admin-level controls:

User-level preferences
- In Profile & Preferences, let each user choose which quick actions they want to see for key object types (Contacts, Companies, Deals, Tickets, etc.).
- Allow users to reorder their preferred actions so the most-used options appear first.

Admin defaults / governance
- Allow Super Admins to define default quick-action sets by object and, optionally, by team/role.
- Users could override these defaults in their personal settings (unless an admin locks them).

Quality-of-life enhancements (optional, but powerful)
- Let users pin 1–2 “primary” actions that are always shown first.
- Consider supporting keyboard shortcuts for specific quick actions straight from the Global Search palette.

- Speeds up daily workflows for power users who live in Global Search.
- Helps teams standardize on recommended processes by surfacing the “right” actions first.
- Reduces misclicks on rarely used actions.
- Makes Global Search feel more tailored and powerful for different teams (Sales, Service, Marketing, Ops).
