Add form to Email

Hi I have created an event email that I want to send to clients as well as created a custom form. Is there any way I can create a button in the email that links to the form to capture attendance?

If this works, will the captured data be sent to my account or how do I view how many people are attending etc and the answers to my questions i.e. Dietary requirements?

If this is not possible, can someone suggest a work around to how to get this information making use of an email or do I need to create a website? I am new to the system.

Hi @KBarnes93,

If you already have a form then yes, this form would typically embedded on a landing page. You can find instructions for how to create a landing page here: Create and customize pages

It’s theoretically possible to link the form directly, without it being embedded on a landing page, however it will not have the URL of your website then and generally look less professional.

The common conversion path would be as follows:

  1. Client receives email and clicks button to register
  2. Client is being directed to a landing page with more information on the event and finds a registration form
  3. Client fills and submits the registration form which updates the contact record belonging to the email address in HubSpot

If you want to capture dietary preferences, you would include those as fields in the form itself: Create forms (legacy)

Make sure to enable ‘Always create contact for new email address’ in the settings of your form, this is a common mistake. If one person submits the form for multiple people, the same contact record would otherwise be overwritten again and again.

Let me know if you have any follow-up questions!

Hi @KBarnes93. A +1 for all the great info from @karstenkoehler.

I’ll add this as well. If you’re not creating a landing page and would prefer the stand alone form (which isn’t as ideal, as Karsten shared), make sure you ad context to the form:

In the form editor, go to “create new” (1) and then add rich text (2) to the top of your form. Here you can add your brand logo and copy that describes the form.
