Lesson 5_Systems Management for RevOps.png

You've probably heard it said a million times that data-driven decisions are the best decisions. However, creating and keeping good data isn’t always an easy thing to come by.

There are three main areas you need to invest in if you're going to have good data: process definition, data governance, and tech stack management.

Here’s what I’d love to hear from you:

  1. How do YOU define process definition?
  2. How do YOU define data governance?
  3. How do YOU define tech stack management?

Process Defination : is thr formal blueprint of a task or series of task.

Data Goveranace: it is the rulebook for an organisatin's data. It isn't just a technical setting or a single software.

Teck stack management: is the process of overseeing the suite of technologies programming languages, framework, libraries, and tools - that acompany uses to build and run an application.

Process definition is how you clearly map and standardize “how work gets done” end-to-end—who does what, in what order, with what inputs/outputs, rules, tools, SLAs, handoffs, and success metrics.

Data governance for me establishes data standards

Tech stack are like  tools  for getting the jobs done

Process Definition: I  think it is the formal mapping of how work moves from one stage to another.
Data Governance: A set of rules that ensures your data is clean, accurate, and usable.
Tech Stack Management: It is a toolbox that your team uses to execute the processes.

I think of process definition as your companyobinh towards agreeing on how to measure your success , how to manage customers , etc. when you take your time in defining your processes, get the documented, and get solid understanding of how each teams views them

  1. How do YOU define process definition? To me this is the why a process or field exists, and sets the stage for alignment and ramp up for individuals.
  2. How do YOU define data governance? This is revenue operations job to keep data hygiene in line, align teams on the flow of fields and flow of process of revenue through the systems, and understanding the source data that allows for great data driven reporting.
  3. How do YOU define tech stack management? Commitment to the company to leverage the systems to the best of their ability and protect the company from the cost and challenges of dealing with technical debt with over customization of tech.

Process definition is how you clearly map and standardize “how work gets done” end-to-end—who does what, in what order, with what inputs/outputs, rules, tools, SLAs, handoffs, and success metrics—so execution is repeatable and improvable; data governance is the set of decision rights, policies, roles (owners/stewards), and controls that ensure data is accurate, secure, compliant, well-documented, and consistently used across the org (quality, access, lineage, retention, definitions); and tech stack management is the disciplined way you select, integrate, operate, secure, monitor, and rationalize your tools/systems (apps, data platforms, integrations, infra) to minimize redundancy and risk while maximizing reliability, scalability, cost-efficiency, and business value.

I’d define process definition as a comprehensive description of the existing workflow, including the tools and systems used to help a company reach certain goals.

Data governance, for me, is about defining a set of rules for how data should be handled to ensure it stays clean, consistent, and trustworthy.

And tech stack management is about choosing and implementing the right tools that support business processes and improve efficiency, without adding unnecessary complexity.

For me the process definition makes a clear guidelines on how to use the system for everyone. On the other hand Data Governance determin the rules and regulation of the system while the Tech Sack management is more on how you optimize the tools, managing the process and maintaining accurancy of all data without breaking the process.

For me, process definition is about understanding how things actually happen to get results. It means identifying the key activities that need to occur, how they connect, and making sure everyone involved follows the same path.

From my point of view, data governance is about setting clear rules for how information is used, shared, and protected within a company. It helps ensure that data stays reliable and that people don’t change or use information in ways that could create errors or confusion.

I see tech stack management as the way a company uses its tools to support its processes as naturally as possible. It’s not about having many tools, but about having the right ones and making sure they work well together.

I'd define process definition as a detailed description of the operations processes, tools, and protocols that all departments follow for their line of work. Data governance is the relatively strict set of standards that a company holds in order to protect the quality, security and usability of its data to ensure that its long-term effectiveness and preservation as well as protection of stored sensitive information. Tech stack management seems like the process of selectively qualifying and choosing technology tools based on their effectiveness towards meeting the company's overall goals versus what a team wants to acheive alignment in mapping out the customer journey and keeping data clean and accessible for insights reporting.

I would define "process definition" as establishing the different steps or activities taken to accomplish a goal or desired result.

''Data governance'' is a system that manages how data is retrieved, used, stored, protected and secured. A system that establishes policies and standards that control access to data.
''Tech Stack Management'' is the management of the tools an organization uses to collect data. This includes the addition or removal of tools that may or may not be relevant to the established processes.

1 - I define process definition as the strategic architecture of how data is captured and moved throughout the organization. It is not merely about documenting human tasks, but about ensuring that data models and objects—such as Leads, Deals, and Accounts—are standardized and protected. In a RevOps context, a well-defined process is one that prevents users from 'mucking up' the data model, ensuring that the information entered is consistent enough to generate reliable reports on business health.

2 - From my perspective, data governance is the establishment of the 'rules of the road' for the company’s information ecosystem. It involves controlling who can modify data, implementing required fields, and maintaining data hygiene. As a Growth professional, I see governance as the mechanism that prevents 'data chaos' as the company scales. It ensures that no matter how fast we grow, our data remains clean, integrated, and actionable for strategic decision-making, rather than becoming a swamp of duplicated or incomplete information.

3 - I define tech stack management as the strategic curation of tools that prioritizes integration over isolated complexity. Managing a stack isn't just about adding the latest 'widgets' or trendy software; it is about ensuring every chosen tool contributes to a low-friction customer experience and high team efficiency. The focus must be on maintaining a fully integrated stack (like HubSpot) and resisting the urge to build a 'spaghetti system' of complex enterprise tools that consume maintenance resources instead of driving revenue.

From what I've learned from the videos,

  1. Process definition is the steps of the process of measuring an organization's success and their process of mesauring customer success.
  2. Data Governance is making sure all data involving customers is secure by setting rules that control access to that data.
  3. Tech stack management is how you implement systems that support your process.

Process definition is clearly mapping how work gets done step by step, data governance is setting rules to keep data clean and trusted, and tech stack management is choosing and maintaining the right tools that support those processes without adding complexity.

So, in the SaaS or content-aggregator-site companies I've worked in, the 'definitions' stage typically amounts to marketing and sales coming together before launching any campaign and agreeing on the exact qualifying criteria for every customer journey stage point. 'Data governance', for the most part, entails everyone on the team having full transparency on the cleaned data coming from BI and the appropriate level of CRM/analytics access suited to their individual role. Tech stack management is usually handled by the Ops team; ensuring each CRM feature or integration (paid) is used to the max (there's strict auditing of the reasoning and cost/benefit behind every new integration request).

Process definition: Figuring out what is the REPETABLE process that we can continue to complete to get the desired result that we want.
Data Governance: Ensuring that all data that enters the system is accurate and actionable. Junk in, junk out!
Tech Stack Management: How are you going to maintain the system long term. Figure out how you sustain the value and get your ROI after go-live.

1) Process Definition - refers to what will be the steps that will have to be taken to ensure a company reaches it's goals and objectives

2) Data Governance refers to the act of collecting, using, and preserving data for the company's usage in the future. Data should be accurate for the company to follow up.

3) Tech  Stack - refers to the ability of the staff to use the data with more efficiency and in the correct manner. Eg; An IT individual wouldn't know what to do of the data except arranging, where as an Revenue Operations individual

can differentiate between data with analytics and use it in best the manner possible by inserting it in the CRM software.

1) Process definition: What steps do we take in order to acomplish a goal

2) Data Governance: How do we keep track  and manage the information that comes in to our business.

3) How do we keep or tech stack lean and relevant.
