Workflows and Tasks

Is there a way to make it so once a initial task is completed for a deal, then it will trigger a second task after a specific delay in time? Only after the first task has been marked as completed? Basically so our customer support people can keep checking in with our customers over time.

Right now I just have a task set and then a delay in time before the next task. This is causing duplicate tasks to be created though.

Hi @Asaladna,

The easiest way to set this up is with multiple workflows:

  1. Workflow A creates task A
  2. Workflow B enrolls deals that are associated to a task with the name A and the task status completed, then creates task B
  3. Workflow C enrolls deals that are associated to a task with the name B and the task status completed, then creates task C

… and so on. That way, you don’t have to work around the delay limitations and the subsequent workflow will fire immediately upon task completion.

Let me know if you have any follow-up questions!

Bumping this old thread because it is a great example of a common goal that’s surprisingly hard to achieve cleanly in HubSpot. The “chained workflows” solution works, but it fragments your business logic, making it a nightmare to maintain.

The user’s original idea—using a simple delay in a single workflow—is the most intuitive. The only reason it fails is that re-enrollment can create duplicate tasks down the line.

I built a free tool that acts as a safeguard for this. You can build the simple, single-workflow sequence you want, and our action ensures a task is only created if it doesn’t already exist. It makes the simple approach robust.

For anyone who finds this, you can see a demo of this cleaner method at https://workflowheros.com/task-sentinel
