Using HubSpot for a mentoring program

Just curious if anyone has used HubSpot for a mentoring program. I’m looking for a way to give mentors visibility to their mentee’s HubSpot records without adding them as users. I could add them as users now as we only have 3 mentors, however there are plans to expand to as many as 100 mentors and that is a lot of users!

Another idea I had was to customise the customer portal and provide access to the mentors via password. The mentors are already in HubSpot as contacts and custom objects.

One of the othe issues is being able to record when a mentoring session takes place. If mentors aren’t HubSpot users how would we define their availability to be booked for mentoring sessions using HubSpot meetings.

One thing you’ll need to keep in mind with this is the importance of keeping user data safe and secure. The beauty of having your 100 mentors as users is you will be able to have much more control over your data’s safety. 100 users isn’t technically overwhelming (especially if they all have the same permission set, level of access, role etc), though if cost is the prohibiting factor you could explore giving them view-only seats. They won’t be able to edit any records, but specifically for this you haven’t specified that this is a requirement.

However you have specified availability management! At this point, I’d strongly swing back to suggesting they receive Core seats, as you’ll be able to use the meetings tool. You said it yourself, you want to use HubSpot meetings - you can’t use these if you’re not a HubSpot user (as a user account is needed to sync with the mentor’s calendar).

If you don’t mind, please let me know how this project goes for you - even though I don’t personally think it’s possible, I’d love to know if you were able to find a workaround!

Hi @NCoughlan I recommend checking out togetherplatform.com there is a free version that will let you get the program established until you’re ready to expand. You’d really want to use Memberships in HubSpot and that requires Pro and custom dev to build it out.
Editing my previous reply (written before I joined the team at HubSpot) to include that we use Mentorloop for the Ecosystem Mentorship Program and love it!

You can set this up as “teams” where the mentors can only see their mentees (ie where the mentor can only see contacts they own). You can also use Hubspot meeting calendars for the booking sessions easily! There are likely calendly or other integrations for non-hubspot user calendars. Keep us posted! This is a super interesting project!

Thanks for sharing Mentorloop Pro @Heidi_H, I’m excited to hear there is an option to integrate with HubSpot - looking at the pricing page, it looks like CRM integrations are only included with Enterprise, not Pro. Can you please clarify if this is correct?

Thanks for sharing Jennifer - that is correct Jennifer. Pro is our entry level option, where you can export data to csv for easy upload into another system. Our Enterprise options includes more customisation, tailored support and option to build in integrations which are quoted on an individual basis.
