tracking cold outreach

I am having a tough time figuring out how to track cold outreach with Hubspot. My sales team relies predominantly on cold outreach for business, and without creating a deal for each contact we reach out to, I can’t figure out how to track the leads. If a contact responds to us by saying something like “not interested now”, how would you go about recording that and tracking it?

I’d recommend using the contact property Lead status here. The field comes with default values (“New”, “Open”, “In progress”, “Open deal”, “Unqualified”, “Attempted to contact”, “Connected”, “Bad timing”) but you can edit and add options.

In addition, I’d update Lifecycle stage to “Other” whenever someone lets you know they’re not interested.

Both should already be in the left contact record sidebar for easy access. If not, you can customize them by following these steps: Customize records

With both Lead status and Lifecycle stage fields maintained, you can create saved contact views for yourself and the team: View and filter records

Thank you for the recommendation! We currently use those properties for our inbound traffic, but I think I can just add more options in lead status to satisfy the cold outreach piece. How would you recommend running a report/tracking which outreach method ( social media, call, email) and subject line/content is working? For example, I have five reps that are all doing cold outreach as well as sales. I would love to find a way inside of Hubspot ( currently we are doing it manually) to see how many NEW contacts they have reached out to, how many times the contact was touched, and if we received a response or not. Is that way too much? and thank you again for your prompt response to y initial query!

Which subscription (Free, Starter, Professional, Enterprise) are you working with? Generally, this would require a closer look at your sales process and how you’re currently using the tool.

For example, which sales content is working could be tracked with templates and reports from the report library. Some of your questions would also be answered by the fairly new sales analytics area of HubSpot.

If you want to be able to filter contacts and see whether sales has reached out to them, these properties would be useful:

Last activity date

Last contacted

Next activity date

Number of times contacted

Recent sales email clicked date

Recent sales email open date

Recent sales email replied date

(definitions here)

You can use these properties for list-building and reporting.
