I am a solopreneur working as a vocie actor. I started using Hubspot to track my clients, emails, etc. To do so I of course linked my Gmail to Hubspot so I can send emails and reply from within Hubspot and track everything.
I jsut realised 2 weeks in that hubspot is automatically creating contacts in the CRM for EVERY email I receive. I do not want this to happen!!! I want to be able to add contacts manually. Is this not possible??
I have read through multiple posts here and they all say I have to manually add emails I don’t want to be logged into the platform. Is this true?? I need to go in and manually add an email every single time I get a marketing email or ANYTHING into my email??
I’m sorry, but if that is true, that is just absurd. I now have to go into my emails and manually add in dozens if not a hundred different emails so they don’t get logged??
Hey @NStoltz it sounds like you might have connected your email as an inbox instead of just the CRM logging email is this correct?
The personal inbox connection would require the gmail extension to log emails. If it is an inbox connection you can read on how to disconnect this here:
@TomM2 Not sure what the difference is. I want to be able to send/log emails from within Hubspot, so they need to be connected correct? I don’t want to have to manually log emails that I have sent to prospects.
If there is a way to connect it so that I can still send emails from within without Hubspot auto-creating a contact from every email I receive then that would be ideal.
@NStoltz Very big difference. My initial comment assumed you had connected your email account as a conversations inbox in HubSpot. I’m not saying you have done this but the information you have provided leads me to believe this.
The conversations inbox is intended to be a global inbox for anyone with access to it. It’s effectively a feature similar to Zendesk’s flagship feature, It should be used for a team inbox. IE all emails going to this address should be displayed in the HS inbox, all information should be logged and records created for all of them.
This is suitable for things like inbound sales, support or even team Customer success email addresses if thats how your business runs.
The sales extensions (such as gmail or office) are meant for personal inbox connections. As you’ve outlined in previous comments, these do allow for the functionality to choose not to log emails, or not to create contacts from specific emails. Because this feature is designed to service the use case you’re looking for.

The TL;DR of these is:
- Connecting your email to the HS inbox will log all incoming emails to the HS inbox.
- Connecting your personal inbox to HubSpot using the Sales extension will allow you to choose which emails you log and which emails create contacts.
The sales tool in the later link I posted is what you’re looking for from your description. If you’re finding every email logged without an extension on your browser/mail client, you’re connected to a conversations/support inbox and you need to disconnect that then go through the process in the last link I posted.
@TomM2 Thank you for the very clear description. I did have all my emails showing up in the conversations so it was linked. I have now unlinked it, however now it seems as though I cannot send emails to my contacts from within Hubspot. (I get a pop-up that say I need to connect my inbox) Is it all or nothing??
I just want to be able to to some lead generation, enter those leads in as contacts, then email them from within Hubspot and log the email and set reminders. I’d rather not have to jump back and forth from Hubspot to Gmail.
