As a marketing manager of a company who syncs data with Salesforce, I’m finding it difficult to manage when contacts have multiple emails, their funciton, priority and how different departments use them.
Context:
In Salesforce, we have 3 email fields, work, alternate, and personal. We also have an “email” field which auto-syncs with the appropriate email that will be considered the primary email. This happens when a user selects work, alternate, or personal from a drop down.
Problems:
1) Integration Issues: However, due to Hubspot’s email rules, its difficult to get all 3 to populate into the “Email” field in Hubspot since it would have to integrate from 3 fields into one field. Additionally, depending on what email integration settings are used, changing the primary email in Hubspot or in Salesforce can cause syncing issues.
2) Marketing Email Issues: Additionally, when sending marketing email, it can be frustrating that the only email we can select to send emails to is whatever is in the primary position of the email field. There are plenty of times where someone’s work email might be where they want to communicate with us on sales and service, but their personal account is where the marketing emails should land.
Solution:
Here’s what I propopse to solve these:
A) Allow Email to be integrated with multiple fields from other platforms. Since “Email” is a csv field in Hubspot anyway, allow users to set a specific field as the “primary” email and the remaining fields as seconday OR the next option which solves for both…
B) Create lables for the emails contained within the email field and within the email setting on the contact record a user can label an email, similar to association labels. Then within the the integration settings these can function as “properties” (like personal, work, alternate, primary) allowing all available emails to sync appropriately. Lastly, in the marketing email set up (and potentially in workflows too), the user can select an appopriate “send to” email based on the label and the default can be the primary email.
