Setting date-specific availability for one rep in a Round Robin link?

Can HubSpot round robin support date-specific availability for one rep, without blocking their calendar for other meeting types?

We have a round robin meeting link embedded on our website. Most of the time, only one team member is assigned, and he takes all the calls.

When he’s on leave, we add a second team member to the round robin for coverage. The problem: I need to set her availability for specific future dates only (e.g., bookable next week while he’s away), without blocking her calendar entirely- she still needs availability for other meeting types outside the round robin.

I know this was possible in Calendly, and I’d rather not go back to it if there’s a native HubSpot solution.

Has anyone solved this? Specifically:

  • Can round robin availability be set per-member, per-date-range?
  • Is there a workaround using meeting link overrides or custom scheduling pages that doesn’t involve blocking the whole calendar?

Any guidance appreciated.

No, as far as I know this is not possible. A user’s availability applies to all of their meeting links - unless meeting link settings specify certain ranges / windows. The latter however apply to all users on that link, not specific ones.

A native HubSpot solution for this would be really helpful, but as far as I’m aware, HubSpot doesn’t currently support setting round-robin availability by individual team member and by specific date range.

A few workarounds you could consider:

  • Edit the second team member’s working hours for the period when coverage is needed. The downside is that this affects all meeting links that use her availability.

  • Temporarily add and remove team members from the round-robin link based on the coverage schedule.

  • Create a separate scheduling page or round-robin link specifically for vacation coverage and replace the embedded link during that period.

  • If her other meeting types need to remain available, consider creating dedicated meeting links with different availability settings rather than relying on a single shared calendar configuration.
