Scheduled E-Mail send

Last week, we sent individual emails to our contacts from the CRM. The emails were all scheduled for the future. Previously, Hubspot reported that no more emails could be sent after approx. 10-15 emails had been assigned to a specific scheduled time. A maximum of 10 emails per minute were also sent from our Outlook mailboxes.

This function no longer seems to be active since last week, as a total of 30 emails were sent from Outlook in one minute and one user was blocked by our Microsoft account due to suspected spam.

With the mentioned functions 1 x that Hubspot automatically blocks time windows when they are ‘full’ and 1 x that Hubspot apparently sends 10 packets of mails from Outlook, it was automatically prevented that a user could be blocked by Microsoft.

Why is it that the message no longer appears and the 10-user mail packs are no longer generated automatically?

Hi @DMB! Welcome to the Community-- happy to have you here

I understand your scheduled emails are sending out more at a time than expected. Are these individual sales emails being sent from each contact or are these from a scheduled sequence send? The way you configure the emails will make a difference in how we investigate so I want to make sure we have as much detail as possible regarding how the emails were composed and scheduled!

Best,
Kennedy

They are individual sales emails being sent from each contact. We use the free Hubspot version for which, as I understand it, the scheduled sequence send is not available.

Thanks for confirming, @DMB! My apologies for missing that Free tag!

Often with 1:1 emails, the throttling would occur from your email provider. Did that user receive any specific error or context when they were blocked? If so, could you attach a screenshot here?

Best,
Kennedy

That is correct. We could solve the problem in the Microsoft Admin Center an unblock the user. My problem or the reason why I reach out here is that in our Hubspot Account the time slots used to be blocked by Hubspot when they were “full”. Hubspot used to give us a message (on red background). We believe this used to be to prevent e-mail senders from being declared spam by in our case Microsoft.
Now Hubspot does not give us these warning messages anymore and any time slot can be overloaded with e-mails.

Hi @DMB! I am not sure this feature is not available. Have you noticed this happening with more than one email? Also, it looks like your image did not upload so feel free to try that again!
I want to invite some subject matter experts to see if they have any suggestions.

Hey @NicoleSengers, @karstenkoehler, @MatthiasWeber have you noticed this same change in behavior?

Hi, yes we used to receive this message often when preparing our mailings.

Could you already check why this function is not available anymore? Is it maybe a primium function? We were testing a paied subscription about 3 months ago…
