Saving emails as PDFs

Is there a way by now to save an entire email as a PDF or an image? I’ve tried the following: open in preview/right-click/print/PDF, but it only captures what’s visible, not the entire email.

Thanks for any ideas!

Hi @AFountas,

This is currently not possible, however other users have already requested this in the HubSpot Ideas section of the community. The product team is reviewing these requests based on popularity so I’d recommend upvoting.

For intermediate solutions, you’d have to work with third-party screenshot or PDF tools that integrate with your browser.

Best regards!

Thanks, Karsten! I’ve upvoted.

Has there been any movement on this upgrade?

If you use Google Chrome, I recommend Fireshot for this: https://chrome.google.com/webstore/detail/take-webpage-screenshots/mcbpblocgmgfnpjjppndjkmgjaogfceg?hl=en .

Thansk for the recommendation, Ben. I’ll check it out.

Great suggestion Ben, for now, is spot on and exactly what I’m looking for.

I came here to ask the same thing!

Save a message as a PDF file
Open the message you want to save, and on the File tab, click Print.
From the Printer drop-down, choose Microsoft Print to PDF.
Choose Print.
In the Save Print Output As box, choose a folder for your PDF and enter a file name. Then choose Save.

Regards,

Will

Hello,

I’m trying to figure out if the option to save an email (ideally, the full email train) in Hubspot as a pdf is now available. From the instructions you provided, I can’t find where “File” appears. Could you please share a screenshot? Also, I’m on the free plan--hopefully that doesn’t make a difference in this case?

Thanks!

Wish I coul vote for this more than once!

Hi, has there been an update on how to save an email as a pdf or image?

I was wondering the same. This tool would be so useful because we have reps that we have to send a pdf to because of their email limitations and it would save so much time having to not recreate the email twice.

@RHendo - if you follow the idea submitted in the answer ( https://community.hubspot.com/t5/HubSpot-Ideas/Print-Email-to-PDF/idi-p/292737 ) the idea only has < 300 votes. I would recommend voting and adding your comments to that thread.

I am curious though, what is your use case and what are your limitations that require you to email a PDF instead of simply sending the email to a rep?

Hello,
I would like capabilities to post these “Tips of the week” on our internal sharepoint sites and to share with our association boards in a quarterly snap. Unfortunately, the format they are in does not allow for optimal viewing, hence the request for PDF format.

@MKithcart - Your example sounds different than that of some of the other posts. If you are posting Tips of the Week, I wonder if building a static email is the best way to go for you if the end result is needing a PDF and posting to sharepoint.

In your use case you could build a blog with tips of the week and post to it. The blog produces an RSS feed that can be turned into a RSS email, and also use the Sharepoint RSS integration to post the feed into a sharepoint site.

Hello,
I appreciate the quick response and follow-up. However, a simple PDF would allow me to send it to our clients in the format that we are requesting.
Thank you,

Ben,
We’ve been told that some of our reps cannot read or forward our emails. So we send them a pdf to forward to their customers.

@RHendo - I have not heard of someone not being able to read an email. Have they sent you screenshots or relayed more detail about what they means? If something is not rendering or preventing the emails from being read, it may need to be investigated further by Hubspot support.

Forwarding is tough no matter what happens. I have worked in many situations where we had resellers who didn’t want us to send directly and insisted on forwarding and even from a customer perspective, they didn’t like receiving PDFs because it wasn’t as intuitive. There are some things you may be able to do or work with your partners to overcome this. In some instances, I have worked and provided the email code they could send themselves or set them up with a custom email/reply-to so that they were in control of all sends and approved before we sent. If you wanted to talk through more ideas or if you needed help executing any of this, feel free to send me a PM.

Hi @AFountas,

Good news, there’s a product update for this now :slightly_smiling_face: https://app-eu1.hubspot.com/l/product-updates/?rollout=285063

Export Marketing Emails to PDF and HTML

What is it?

You can now export marketing emails as PDF or HTML files from the email editor or performance page, so you can easily share, review, and archive email designs.

Why does it matter?

Sometimes your email workflow extends beyond HubSpot. Now you’re covered:

  • Stakeholder reviews and approvals: Share email designs with executives, clients, or legal partners who don’t have HubSpot access — no screenshots or manual recreations required.
  • Compliance and recordkeeping: Archive an exact copy of what was sent to meet organizational or regulatory requirements.
  • Design reuse and handoff: Give developers or external teams the HTML they need to reference or reuse email code outside of HubSpot.

How does it work?

  • In your HubSpot account, navigate to Marketing > Marketing Email.
  • Select a draft email and click Edit or create a new email.
  • Click File in the top nav panel > Export email design.
  • From the model you can specify:
    • File name
    • File format: PDF (default) or HTML
    • Include Personalized Content and choose an example contact to preview email personalization within your export.

Based on your choice, a PDF or HTML file will be downloaded within your browser and a download link also sent to your specified email address.

Note:

  • You can also export an email from the email performance page by selecting Actions > Export email design.
  • If your email contains multiple A/B email versions. You will also be able to view and choose which A/B version you would like to export.

Who gets it?

Marketing Hub Starter, Marketing Hub Professional, Marketing Hub Enterprise
