Ability to report on breakdown of revenue from line items on a deal. For example, for a multi year deal, I want to see the recurring revenue hitting in year 1 vs year 2, etc. The goal is to have visbility into revenue timing for planning, sales prioritization, etc purposes
Great question/idea - and honestly, you’re running into one of the classic limitations of native HubSpot reporting when it comes to revenue timing vs. revenue structure.
The core challenge
Out of the box, HubSpot treats a deal as a single revenue event (usually tied to the close date), even if your line items represent multi-year or recurring revenue.
So when you ask: “How much revenue hits in Year 1 vs Year 2?”
…you’re essentially trying to shift from:
- Deal-level reporting → to → time-distributed revenue reporting
That’s not something HubSpot handles natively at the line item level (yet).
Option 1: Custom workaround with line items (limited)
You can try to model this by:
- Adding custom properties on line items (e.g. “Billing Year” or “Start Date”)
- Creating multiple line items per deal (one per year)
But:
- Reporting becomes messy
- Forecasting is not reliable
- Hard to align with pipeline/stage-based reporting
Recommended approach: Split revenue into multiple deals (by year)
This is where a more scalable RevOps approach comes in ![]()
Instead of forcing everything into one deal, break the contract into multiple deals, each representing a revenue period:
Example:
- Deal 1 → Year 1 revenue (2026)
- Deal 2 → Year 2 revenue (2027)
- Deal 3 → Year 3 revenue (2028)
Each deal has:
- Its own close date
- Its own amount
- Its own pipeline stage
Now you can:
- Forecast accurately
- Report revenue by year/quarter
- Track pipeline health for future revenue
- Prioritize upcoming renewals / expansions
How to operationalize this (without manual work)
This is exactly the type of use case we built CloneNer for.
With CloneNer you can:
- Clone a closed-won deal into future periods (Year 2, Year 3, etc.)
- Automatically adjust:
- Deal name (e.g. Company – Renewal 2027)
- Close date
- Amount (if needed)
- Keep all associations (company, contacts, line items)
- Place new deals into a renewal / future revenue pipeline
You can do this:
- Manually (1-click from the CRM card), or
- Automatically using Auto-Rules (e.g. when a deal is Closed Won → create next year’s deal)
Why this works better for reporting
Once structured this way, HubSpot reporting becomes much more powerful:
- Use standard revenue reports by close date
- Filter by pipeline (e.g. Renewals)
- Build forecasts for future committed revenue
- See exactly what’s coming in Year 1 vs Year 2 vs Year 3
No hacks, no complex line-item reporting needed.
aligns with renewal pipeline best practices
This approach also fits perfectly with what Stuart from ConnectedGTM describes:
- Dedicated renewal pipeline
- Deals moving based on time-to-renewal
- Clear visibility into upcoming revenue
- Proactive account management
TL;DR
- HubSpot doesn’t natively support revenue breakdown by year at the line item level
- The cleanest solution is to model each revenue period as its own deal
- Tools like CloneNer make this scalable by automating deal duplication and lifecycle management
