Recurring tasks automation

We are looking for an option to set an recurring task, when setting up a workflow to create a task. In our automated workflow, one of the tasks needs to be recurring - so we wish for the checkbox and the alternative, setting how often we wish to repeat the task.

Could you specify the requirements a bit more, what’s the task interval, which object (contact, company, etc) is the task related to?

There are probably ways to achieve this but they depend on the specifics.

I’m in the same boat, it looks like you can create task recurring but only on the task object. Its seems that you are unable to create recurring tasks in a workflow for when new accounts need daily tasks completed.

This is what we see:

Hi @SRooney and @JAndersson - That is correct. You can set the recurring task in the Task object (see how to do that in this help article), but not via a workflow - which can be a bit painful.

It is when you set an automated task for each deal. You can create a recurring task when you create a task manually - but if should be a part of a workflow, you cannot set this in the workflow. It has to be set manually when the task is created.

Creating repeating tasks is not possible via HubSpot Workflows, however, here’s a workaround using Schedule by Zapier.

HubSpot Requirements & Live Example:

  • Create custom date property (ex: “Monthly Call Task Date” for the Contact/Company Object
  • Create Contact/Company Workflow
    • Trigger = “Monthly Call Task Date”, with condition = “has been updated in the last 1 day”
      • Be sure enable Re-Enrollment, with “Monthly Call Task Date” as well
    • Create action step to Create Task

Zapier Requirements & Live Example:

  • Create Zap with “Schedule by Zapier” as Trigger, set desired frequency
  • Set Action Step - HubSpot - Find Contact/Company
    • You can use lists or properties to search for records
  • Set Action Step - HubSpot - Update Contact/Company
    • Update the “Monthly Call Task Date”, using the date created in the Trigger action of the Schedule by Zapier Trigger
    • This will update the date property, which will then trigger the HubSpot workflow according to the desired cadence

Note: you will need to set the initial “Monthly Call Task Date” if you are using it in the Find Company/Contact action step in Zapier.

I have suggested the ability for a workflow to retrigger itself so you can make a “check every 3 months that …” without having to make the suggested type of workarounds.
