Hey HubSpot Community!
I had my personal email originally connected as a team email. The inbox worked perfect, as well as auto-generated contacts and companies with respective association. I was having issues trying to figure out how to blocklist a domain name to stop incoming emails from co-workers from creating contact/company records. When speaking with HubSpot support, they noted to disconnect the team email, and then add my email as a personal only. Since doing so, I am no longer getting any emails logged in HubSpot - any reason why? It seems straight forward, but I can’t seem to understand the issue.
Thanks for any guidance!

Hi @SPearcey
Thank you for reaching out!
I understand that you changed your inbox connexion from a team inbox to a personal one and that your emails are not logging to HubSpot now, is that correct?
Have you installed HubSpot Sales ? This is what will enable you to log emails in HubSpot.
Here are the steps to install the extension/add in
Here are the steps to log emails into HubSpot
- gmail extension
- outlook desktop
- O365 add-in
Hope that helps.
Have a lovely day,
Tiphaine.
Good evening Tiphaine,
Yes that is correct. I was instructed by a hubspot rep that simply connecting my personal inbox would be enough and I would not need to install this extension into Gmail. I have no use for using hubspot in Gmail itself (I only using the MacOS mail app anyway). From what I am reading from what you sent me, it looks like this is just to enable use of Hubspot functions within Gmail, and not to make Hubspot accept my two-way email communications log in the CRM. Am I incorrect to say that, and do I need this extension to get it to work?
Thanks for the help!
Hi Shane @SPearcey
With a personal email and the extension/add-in, the emails won’t arrive in Conversations > inbox, however, they can be logged into the CRM (in the contact records).
For that you need to use the log function, the steps are here. As soon as you send an email with the log function activated, the conversation will log into the CRM. Any reply to that email will be logged in the conversation in the CRM as well.
You’re right that incoming email (as net new email threads) will not log right away to the CRM, however if you reply to it and use the log function the conversation will log into the CRM.
You can also log the incoming email right away manually by using the forwarding address.
Hope that helps.
Have a lovely day,

Good morning Tiphaine,
Thank you for your reply. Looking at this looks like it will be more manual work to get this to oeprate the way I would like, unfortunately.
So basically I’m in a position where I either set my email as a team email and deal with constantly having to delete contact and company records from new emails (because apparently, as I was told by a previous HubSpot rep, you can’t have your emails come in through a team email and use the blocklisting/never log of domains) or setup my email as a personal inbox, do the extra manual work to log emails, and lose the inbox function.
I think I will go back to setting my email as a team email and deal with the constant clean up of new records I don’t want. Unless there is another way around this? I just want to simply have the following things:
1. Automated contact and company records created when I receive an email that are associated,
2. Be able to block a domain name in HubSpot from ever creating a record from that domain when they send me an email
3. Have functional use fo the inbox
4. Be able to use the calendar function (can’t use that as a single user either with a team email)
5. Not have to do a lot of manual work so I can stay focused on efficiency
Am I right to say that these restrictions are because HubSpot is setup to function more as a team-based platform and makes it difficult for a single user to have all of this work? Because I absolutely love this product, its organization, associations, task listing, UI etc… I just wish it would work for a single user without this headache as what I’m trying to get it to do doesn’t seem like a lot to ask of a CRM as it seems like a basic need of any individual user.
Any guidance you have would be apprecaited. I don’t know if it makes a difference but I will be getting the starter CRM suite soon as now I am only using the free to tinker and see if this is a right fit.
Thank you!

Hi @SPearcey
Thank you for your reply
The log function can be automated in the settings of the Chrome/Add-in extensions so that everytime you reply to an email, it logs the emails conversation in HubSpot.
However if you really want to have all incoming emails get in the Conversations inbox, then you will need to connect your inbox as a team email, that’s correct.
You can however use the allow and deny lists to filter the emails that arrive in the Conversation inbox.
Also want to tag some of our experts here - @danmoyle @karstenkoehler @Jnix284 do you have additional advice or suggestions you could share with @SPearcey on this?
Thank you!
Best
