Offline Event Campaign Association

I want to associate a list of leads generated in person at a conference with a campaign. Although it appears I’m able to associate a list with campaign, it doesn’t actually connect the records. How are others handling this?
For example, I’d like to be able to createa single report showing all active campaigns, and leads generated per week, across campaigns that include both in-person and online (ad/form/webinar) content.

Hi @PLachance8,
Thank you for posting to the Community!
I’d like to tag in some of our Top Contributors to see if they have any ideas on this one.
Hi @franksteiner79 @danmoyle @BukunmiOdetayo I hope you all are having a wonderful Friday!
Do you have any ideas on @PLachance8’s question above?
Thank you!

This is a common HubSpot situation. Associating a list with a campaign doesn’t automatically link individual contacts—campaigns track engagement at the record level.

To handle this:

Import with Campaign ID – include the campaign when importing offline leads.

Bulk Association – select existing contacts and associate them with the campaign.

Workflow Automation – use a workflow triggered by list membership to assign contacts to campaigns automatically.

Once contacts are correctly associated, you can report on both offline and online leads across campaigns.

Hi @PLachance8. I feel the struggle. With HubSpot as it’s built, it’s hard to associate a list of in-person conference leads directly with a HubSpot campaign. As mentioned by @nicholas123, Campaigns are designed to track online interactions (social posts, ads, website pages, emails) rather than manually associating records.

Over the years I’ve worked with clients on this as best we can, and I’ve seen others discuss this in the Community. Here’s what I would offer as a few options to consider, some of which will include custom properties.

First, let’s acknowledge the platform limitations you’re experiencing, and that you’ll want to consider.

  • Lists themselves can’t bind contacts to campaigns for reporting; associations must occur at the contact (or deal) level.
  • Association labels are valuable for data organization and workflow triggers, but reporting granularity requires contact-level visibility.
  • HubSpot limits the number of lists and custom fields—be mindful of platform constraints when scaling segmentation and association strategies.

A FURTHER NOTE HERE FROM MY EXPERIENCE:

As I mentioned, contacts in HubSpot cannot be directly associated with a campaign through a native “campaign ID” field. Association between contacts and campaigns is achieved only when the contact interacts with a campaign asset. HubSpot campaigns are designed around tracking the influence of marketing assets on contacts, so campaign interactions are what drive contact–campaign association.

  • Native Campaign Influence: Contacts are “influenced” by a campaign if they interact with an asset (email, form, ad, etc.) or are included in a list that is associated with the campaign. This influence relationship is autogenerated by engagement or by adding lists—but not by setting a campaign ID on the contact record.
  • Custom Properties: To track a campaign ID or event association directly on the contact (e.g., for in-person generated leads), a custom property (such as “Source Campaign” or “Event ID”) must be created and updated manually (via import or workflow). This allows for segmentation and internal reporting, but is not part of HubSpot’s native campaign influence model.
  • Association Impact: Associating a list with a campaign will auto-mark all list contacts as “influenced” by the campaign for engagement reporting. However, this connection is not the same as a persistent, filterable campaign ID property on the contact.

Now let’s talk about some potential soultions to what you’re working on.

Import with Campaign ID: When importing offline leads, include the campaign ID or an identifying value (such as a custom contact property) during the import process. This should ensure each lead is directly tied to the specific campaign.

Bulk Association: Select the relevant contacts (from your in-person list) and use the bulk edit feature or workflows to associate them individually with the appropriate campaign. Manual association is tedious but maintains data integrity for campaign reporting.

Workflow Automation: Create a workflow triggered by list membership. When a new contact enters the list (e.g., “Conference 2025 Leads”), a workflow automatically updates a custom property (like “Campaign Source”), or even uses HubSpot’s newer association labels where available, to mark them as influenced by the chosen campaign.

For reporting, here are some thoughts.

  • Unified Reporting: With all contacts correctly associated to their campaigns (regardless of acquisition channel), ypou should be able to use HubSpot’s custom report builder to create reports that show leads generated per week, across all campaigns (including both online and in-person sources).
  • Custom Source Field: I’ve sees a lot of HubSpot users create a custom “Lead Origin” property to differentiate online, in-person, and other lead sources. This allows segmented reporting and a more accurate multi-channel view.
  • Grouping and Segmentation: You could use campaign-level custom properties or tags to group campaigns by type or channel, making it easy to visualize and compare performance at both granular and summary levels in dashboards.

So where does this take you? If I were in your shoes, I’d probably consider using a workflow to mark each contact from your event list with the campaign or event as soon as they’re imported. Make sure to aim for record-level associations (not just list-to-campaign) to ensure reporting accuracy. I’d look into custom properties (“Lead Source,” “Campaign Association”) for better segmentation and unified reporting across in-person and online activities. Hopefully this approach will allow reporting by campaign on leads generated per week, combining both online content and in-person events.

Hope that helps!

This is a great, detailed answer thank you

Associating a conference list to a campaign without the contacts actually rolling into campaign reporting is a frustration I see a lot with offline events. The teams that win treat the event as its own program beat first, then roll influenced pipeline up so booth leads do not vanish in a list association. Happy to compare notes on how you are tying those IRL leads back to revenue.
