Multiple Owners on Single Deal

Need some help

We need to assign more than one owner to a Deal. We pass responsibility for a Deal from Lead Gen to Closer at a point in our process, but want to be able to ID the original owner for our compensation and analytics.

It’s not possible to add two users to the Deal owner property but there is a workaround. HubSpot allows you to create more owner properties. These can be created like other custom properties, you just need to select “HubSpot user” as property Field type (at the very end of the list).

You could name this Original deal owner. By doing this, you now have two independent owner fields on each deal record.

By customizing the deal sidebar (as explained here), you can make it easier to access this new field on the deal record.

With workflows, you could automate parts of this but that would require a Professional or Enterprise license. (Specifically, you could automate that the first known value of the Deal owner field is automatically copied into the Original deal owner field.)

Create multi-select User properties

What is it?

You can now create HubSpot User properties that are multi-select, enabling you to add multiple record owners in a single property.

Why does it matter?

HubSpot User properties store a list of users in your HubSpot account. Users selected for this property are treated as record owners and have the same edit permissions for the record as an owner.

Previously, only one HubSpot user could be selected as a value. This constrained your data model in cases where multiple users needed to be owners on a record. For example, you may have a contact record representing a potential customer that is owned by multiple sales team members. Each team member needs record owner permissions so that they can reach out to the contact and make edits to the contact record. Now, this can be achieved with a multi-select User property.

How does it work?

Objects>Settings>Properties

Create a new property and select User as its fieldtype. You will select how many owners can be selected - only one, or multiple. This selection cannot be changed after the property is saved.

Notes:

  • Existing User properties cannot be configured to be multi-select at this time
  • The default HubSpot owner property is not impacted by this change
  • Personalization tokens for multi-select User properties are not yet supported in Marketing Email, but function as expected in Snippets, Sales Emails, and Workflows.

Hi @karstenkoehler - this looks like a handy new feature that could be of benefit, as we also at times may have multiple deal owners. How would you suggest implementing this best, when the default HubSpot Deal Owner property cannot be amended. Would the default property need to be hidden/removed from all the ‘create deal’ forms and replace with a newly created property? This sounds simple as I type it but may well be missing something! Do you have a suggestion as to a suitable name for the new property, I’m thinking simply ‘Deal Owner/s’ to differentiate between the default and its single owner function. @M_Kelly could you explain your use case in a bit more detail? For many features and reporting purposes, you still want a primary owner on a deal and I’d recommend defining a logic as to who that one person would be.

Hi @karstenkoehler sure! So an instance would be, a lead comes in through a web form submission to our sales support team, who work the lead through until a deal is created (quote sent). The sales support team member may then see the deal through until closed, but on some occasions a regional account manager may also be involved from the quote stage (or later in the pipeline) and take over the deal to see it through to close. I guess maybe we could actually just have a second owner property for Secondary Deal Owner, so they do get attributed part of the pie when required? Thanks!

@M_Kelly in that case I would indeed work with two owner properties and decide whether the deal owner reflects the sales support owner or the regional account owner – and then create a second owner property for the other. I would only use a multiple owner property whenever there is no distinction between the roles of the assigned users at all. Whenever there is, I would want to have the ability to filter by role.
