I am looking for some guidance on migrating contacts between companies within one HubSpot account. Our organization is unique in the fact that we have 4 independently run companies under a single ownership umbrella that our team cross sells for. Therefor, we have 4 seperate accounts under a single login. We are having some issues with Email tracking putting contacts into the wrong company/account and I am trying to migrate these accounts and contacts to their correct placement. I have not had any luck with the migration process; the only solution I have found is to delete the contact and recreate under the correct account however, this means that a lot of data is lost in the transfer. Any advice?
I’m not sure I’m 100% following the description of your starting situation. Please stop my where I’m incorrect.
Your company is ACME. ACME has purchased one HubSpot portal.
Within ACME, there is ACME1, ACME2, ACME3, ACME4, independent companies.
You have 4 separate accounts under a single login, meaning that each user can access HubSpot 4 way (with a login for ACME1-4) or that they’re logging into HubSpot with their ACME-address but have connected their email addresses for ACME1-4?
We are having some issues with Email tracking putting contacts into the wrong company/account and I am trying to migrate these accounts and contacts to their correct placement.
What exactly do you mean here? Could you give an example? Are you saying that contacts are accidentally emailed from ACME1 but they should be emailed from ACME2, 3 or 4, for example? What exactly do you want to migrate?
Appreciate you taking the time to reply. What I am trying to communicate in the paragraph above is that we use Email tracking to log and save communication with our accounts. There is something going on with the Email logging process in our Hubspot account where we Email Customer A from Acme 1 however, the Email is incorrectly logged into one of Acme 2, 3, or 4 with no rhyme or reason. When that happens, I am trying to find a solution to migrate that communication log into Acme 1’s CRM where it belongs. I am finding that (lately) I will Email customers from Acme 1 and somehow, a totally new contact is created in Acme 2. I will also add that we have seperate Email addresses for each company in our org. which are associated correctly within HubSpot. This seems to be a new issue as we have been set up like this for a few years now.
@nyr1994 when you say that the email is incorrectly logged, do you mean that an email is sent from ACME1 but it is shown as having been sent from ACME2? Or do you mean that the email will be logged on the company record of ACME2?
Are you copying internal contacts on your outgoing emails? If so, that might influence how those email activities are associated to contact and company records.
@karstenkoehler I believe you are correct. For instance, the Email is sent from ACME 1 but shows up as being sent by ACME 2 within HubSpot CRM and thus creating a new contact in HubSpot under ACME 1. There are instances where others within our org. are CC’d. I guess where I am at is, is there any way to move these logs that are created to their correct ACME?
