Manually change quote status

Status history

Hey folks - just doing a little cleanup here. Apologies for the delay. I’m happy to share that as of ~8 months ago, you can manually mark a quote as signed when the customer signs or approves it outside HubSpot (e.g., prints and signs, sends a scanned PDF, or confirms via another channel), as long as the quote is set up with a written signature / print‑and‑sign acceptance method. This is possible on both Quotes (launched in September of 2025) or Legacy Quotes.

How to do it:

  1. When creating the quote, choose an acceptance method that includes a written signature field (rather than only e‑signature or no signature).
  2. Whenever you want to mark it as signed, go to Commerce > Quotes, hover the quote and click Preview.
  3. In the upper right, click Actions > Mark signed.

That will move the quote into a signed/accepted state so your team and reports can rely on the status, even when the customer didn’t use e‑signature.

If you don’t see Mark signed in the Actions menu, it usually means the quote wasn’t created with a Print and sign / written signature acceptance method (for example, it’s e-signature-only or click-to-accept), or you don’t have permission to edit that quote.
