Hi Everyone,
@Juniver doing outbound sales and receiving a lot of autoreplies due to the summer holiday. Is it possible to have a workflow be triggered (e.g., automatically send X email template 2 weeks from now) when we receive an auto-reply (or detect certain words in the subject line, like “out of office”)?
We tried and yet to reach a complete solution approach, can other champ’s share their expert advise on any best workaround on this problem statement ?
Regards
Hey @Humashankar, thank you for posting here.
Handling autoreplies during peak holiday seasons can be quite a task. One effective way to manage this is by setting up automated workflows in HubSpot. You can create email templates for automated responses and set triggers based on specific keywords like “out of office” in the subject line or body of the email.
By configuring these workflows, you can ensure that the appropriate responses are sent out automatically after a defined period, such as two weeks later. It’s advisable to test these workflows thoroughly to ensure they work as intended and make adjustments as needed based on performance.
@danmoyle and @TomM2 do you have any recommendations for @Humashankar matter?
Thank you,
Pam
Hey there @Humashankar. For your outbound email, is it a 1:1 or Sequence? Or are you using marketing emails? That’s my first question.
If it’s a marketing email, you could send it via a workflow, then crewate a branch (and/or logic) with marketing email as the branch criteria, and use “contact replied” as the trigger. If you want the two weeks delay, you’d have to put that before the branch of course.
This only takes into account a reply (any reply), not just an out of office (OOO) reply. I don’t see a way in workflows for us to include words in the reply or in the subject line. But if your email is built for clicks, not replies, this may be a workaround.
Similarly, if it’s a sales email, there’s a “recent sales email replied date” criteria in contact properites (example below) that could act the same way. Again, only a reply, not a specific wording in the reply.
While not a perfect solution, if you plan ahead of time for a click-focused email and not replies, it could maybe be a workaround.
