At the moment permissions on Forms is a simple on/off toggle. Whilst turning this off provides a lot more control to the admin team on forms being created/edited by other team-members, it also takes away a lot of functionalities related to forms for other users (reporting on forms, creating lists based on forms, etc.). Is there anyway we could have more granularity on form permissions as we do for other functions on Hubspot?
100% - forms can not be added to landing pages either if you do not want users creating forms. This is really impacting the way we work.
It would be great to be able to give View access to forms, so that they can see the forms, submissions and performance.
Not everyone needs to be able to create or edit forms, and it is an unnecessary extra step to have to create a list for every form’s submissions, or to have to expect users to create a filter each time.
It would be a great addition to be able to give users read-only access to forms, so that they can view, but not edit, forms. We have similar permissions for lists and workflows, why not forms?
Yes, users can view some details about forms by creating a filter or a view, but that is tedious and not a great user experience. They want to be able to see the actual form, who submitted and when.
I am now forced to to give access to forms to people that I don’t want to give access to - not ideal.
At the very least, adding a Read permission option is needed. It’s frustrating that users can see form submission information on object records, but not easily access all of those submissions in one place. Also, with adding Payments to forms, there doesn’t seem to be anywhere else that a user can see if someone submitted a form but the Payment Status is still “Open”
I thought I was the only one that needed this! Definetely needed view/edit/publish permissions. This all or nothing permission is very unhelpful.
Hey folks,
I would also love more flexibility in setting up form user permissions. That said, you can manage form access on a per-form basis. The default setting is all, but you can select teams and users. So at least you can mitigate most risks, but not all.
I hope this helps!
Agreed - there is so much analytics data on the forms that I want everyone to have access to but I don’t them to have permission to edit or create forms themselves.
This would be super helpful as I have team members who need access to the form to create reports with the data, but who do not need permission to edit the form. Thank you!
We definitely need this as many team members need to see form submissions but not get the ability to create forms.
This is desperately needed. We have many users that want to see their forms but have no business creating/editing, and with many users, there is inevitbly someone that makes a mistake or doesn’t follow the rules.
This is definitely needed for bigger customers.
Large organizations need more granularity !! Same for workflows.
We have many stakeholders that use the system, so the granularity option is crucial for us.
Hi, this would be a really important feature to have, especially when forms are dealing with sensitive info we want to limit the number of people who can see this. Thank you!
This would be great to have please! In most other marketing permissions, we are able to select if we only want those users to be able to view only a landing page for example or even emails. But for forms this is all or nothing. It would be very helpful if we could restrict this for example to view only forms, so they cannot create new forms. Thanks!
At the moment, form permissions aren’t as nuanced as email permissions. Users with edit permissions for form can edit live forms while permissions for marketing emails, for example, differentiate between suggesting changes (edit) and publishing changes (publish).
It would be great to have the same permissions / distinction for forms - and ideally also form approvals, similar to marketing email or landing page approvals.
Context
- Forms are an entry point for new contacts and it’s important that contact information is captured in a standardized way across large organizations. This can only be ensured with standardized fields, standardized hidden fields and form settings (e.g. “Always create contact for new email address” or the marketing contact settings).
- Especially in large companies with many regional teams and varying degrees of confidence and competence, it’s challenging for HubSpot admins to provide quality assurance for forms. If they take away form edit permissions, they become a bottleneck. If they grant form edit permissions, they constantly have to monitor newly created forms which might be created not following standard guidelines.
What happens if we don’t get this feature?
- HubSpot admins will always be a bottleneck.
- General adoption of HubSpot in the company is slowed down as HubSpot admins have to work around the risks or downsides of not having these permissions.
Thanks in advance for considering!
+1 This is so needed by our organization. We have many regional teams and users of varying skills level in our Hubspot account, many of whom want - and as an Admin, I believe should have - view-only access to forms. In addition to ensuring standardization across forms, we also utilize subscription-types for our marketing emails, so anyone with form edit permissions also needs to understand how to ensure a form is setting the correct subscription type(s). We’ve taken the bottleneck approach and essentially locked down our forms, with very few users able to access the forms tool.
I’ve always found it very odd that we can tailor access to our custom objects, but not forms.
Having form approvals would be even better, but even just have view versus edit access alone would be a big improvement.
This would be a super helpful feature. Would love to see forms get the same permissions treatment as other areas of the CRM.
Definitivamente hace falta tener ese granularidad en los permisos de formularios, contar con permisos de visualización, edición, creación y eliminación es realmente vital en esta herramienta del CRM.
