When it comes to front line sales reps archiving email, it is easy to mandate that they log everything. But this gets more complex with sales executives and other leaders that are involved in sales but not 100% of the time.
Sales executives need to log emails so we have accurate data on sales interactions but they don’t want to enable logging because they are afraid of sensitive non-sales non-company domain emails getting stored for anyone to see.
It would be great to have a feature where you can enable email logging that updates the last activity date but doesn’t store the body of the email.
Or the ability for certain people to log emails that update the activity field but other users can’t see the content of the email.
This way, these user can leave logging enabled and not worry about sensitive emails because others won’t be able to read them.
+1! I am currently working on integrating a CRM and was pretty much set on HubSpot until I realized that this wasn’t a possibility. The company I work for is subject to International Trade in Arms Regulations (ITAR), so we have to avoid storing any related data in the cloud. Emails sometimes contain that data in the body and as attachments. Unfortunately, it looks like we may be going with Salesforce now, as they have options to maintain ITAR compliance
This is an old thread, but this feature would be so valuable. The options currently are to “log the email with all content” (which we simply don’t want to do), or “log an email manually” (which people simply won’t bother to do) without content. Surely a “log email without content” option in the Outlook plugin would be simple to implement and hugely valuable, particularly when companies don’t want to log sensitive content openly in the system, but do want to track interactions automatically with contacts.
100% this is a very important feature for us. We have multiple people on our team that have highly sensitive information shared via email, and would not want the email content to be logged - but do want to automatically log that an email was sent.
Would be great if there was 1 or 2 additional options to logging emails:
Log emails:
(a) no - same as now
(b) date only - shows that an email was sent, who from and who to, and what date.
(c) metadata only - shows subject line + above
(d) full - same as right now when ‘yes’, i.e. content + the above
I’m shocked that this isn’t a feature that was developed from the start. As the leader of a non-profit that communicates regularly with clients (and those emails often contain sensitive and confidential information), finding out that the body of every email was logged into Hubspot was so frustrating. I’m looking for other CRM solutions now for our organization because this essential feature is missing.
I agree that this is a huge gap in the Hubspot product - one that Hubspot’s competitors seem to have solved years ago. Previously, my team used Affinity (a financial services CRM) and the way they did it was all emails were logged with just the date and the recipients. Then on an email by email basis you could choose to show the content or not.
Aside from sensitive information, I don’t want to log all of the emails that are just Zoom links or other non-important stuff to the record as it floods the activities page and makes it harder to find the actually relevant emails.
How has this not been resolved? Our CEO also does a lot of sales so we want her emails logged so our team knows whether to interact some clients or not but she doesnt want every single one of the contents of her email available to be visible by BDR’s etc.
