Line item properties are synced from Product properties.
However I have an issue where the Public / Private Status isn’t synced on a file property.
This means although I’ve set the product property to public, when I create a line item the line item image is private. We’ve been sending out quotes not realising that the images are all broken for the recipients because they’re not logged in users of our portal.
I notice that this privacy status can’t be set through the API, I wonder if these issues are linked if HubSpot is internally using the API to sync the properties.
I guess the only solution for us is to not use the file property and upload images via the filemanager and copy urls into line items but this seems a pretty poor user experience / solution.
You’re absolutely right — this is a frustrating limitation.
Currently, file properties don’t retain the public/private status when synced from a Product to a Line Item, and unfortunately, HubSpot doesn’t allow setting the file privacy status via API, which likely explains why your line item images end up private even if the original product file is public.
You’re not alone in this — it’s a known issue, especially for teams using quotes or custom objects where visuals matter.
Workaround (for now):
Manually upload images to the File Manager, set them to public, and then paste the direct image URLs into a custom text field or rich text field on the line item. It’s not ideal but avoids broken image issues in quotes.
Pro Tip: You could also consider setting up an automation or alert that checks for missing or private image links before quote generation (if you’re using Operations Hub or an external tool).
Let’s hope HubSpot improves this soon — syncing file privacy or allowing API-level control would make a big difference.

I don’t need AI to rewrite my question as a long convaluted answer I already wrote the workaround suggested in my question.
