Lead Management

Our team is working on a lead management process. Our idea was to reassign contacts to a Generic sales user if they have not had any sales activity in 100 days. Then the idea was that if the rep logs an outbound call or email, ownership of the contact will change to that user. The thought is to prevent them from just bulk reassigning contacts to themselves without doing anything. I also set it so that only contacts that they own can be enrolled in sequences.
I’m not sure that what I am trying to accomplish is possible with workflows. But I would be interested in a potential workaround if anyone has any ideas??

Hi @Stacks42,

Here’s what I would do:

  • Workflow one enrolls records when Last activity date is more than 90 days ago or unknown AND Next activity date is unknown. Send a notification to the rep 10 days before with a heads-up, delay for 10 days, then use ‘Edit record’ to clear the owner. As workflow unenrolment criteria specify Last activity date is less than 100 days ago or Next activity date is known. Also any contacts you want to exclude, e.g. customers.
  • In a second workflow, you would enroll records where the owner is unknown and which have Last activity date is less than 1 day ago. You then either need an And/or branch or a custom code action to check whose activity it was. Then use ‘Edit record’ to assign the corresponding owner.

Best regards!
