Keep customer and employee data seperate

This might be a little off topic, but i’, curious if anyone can help me. Next to using the Hubspot crm to send our customers newsletters, I want to use it to send our employees an internal newsletter.

Now I was wondering what the best way is to keep the employee data apart from the customer data. I will just be uploading a list of names and emailadresses of the employees and do not need to track anything. The best thing we came up with, was making a new company (‘internal use only’). But is this 100% safe in avoiding customers receiving the internal newsletter by accident?

A popular way to accomplish this would be suppression or exclusion lists. Under Menu > Contacts > Lists you can create an active, contact-based list that populates with all contacts who do not have a certain email domain. This email domain would be your company’s domain name:

This would now be the list that you exclude from every internal email send (in the Send or schedule tab of your emails, under Don’t send to).

So much on the easiest solution.

You could also create a subscription type for internal emails and only opt in employees. This would however require you to enable the GDPR settings, specifically the toggle “Legal basis required”. As a result, only contacts with a positive value for a subscription are eligible to receive emails under that subscription type. If you haven’t done this yet, I wouldn’t recommend this as it might automatically exclude hundreds or thousands of contacts from your emails in general, unless you’ve maintained their subscriptions well. (It’s overall a good idea to familiarize yourself with this functionality but not necessarily for the purpose of excluding business contacts from internal email sends.)

Thanks so much for your explanaition. Unfortunaly the easiest solution wont work for me. We have many employees withour work e-mailaddresses. So Hotmail. Gmail etc.

How about giving them a special property like ‘works at xxx’? And then making a list based on that property. Would that work?

Sure, that’s of course also an option! You could either create a new custom property or use an existing one, for example the Persona property. You could simply add an “Employee” value to this property and mark all contacts accordingly. Then you would build a list following the same logic from my post above – filtering by Persona instead of Email domain.

To update the Persona field of all employees in one go, find the list and use the bulk edit feature. Let me know if you need any assistance here.
