Issues with Hubspot automatically queuing emails

Hello all! I’ve been having issues in Sequences with sending emails immediately. For several hours everything works as it should (I hit send, it’s delivered, and logs the communication). However, as if at random, Hubspot will start delaying the emails for later times. So even if I continue as I have been and select “Send now” and then “Start sequence”, it won’t immediately send the email anymore. The system will delay its delivery. I realize that there is a feature within Sequencing that allows Hubspot to choose “the best delivery times” however I would like to know if there is a way to turn that option off and let me decide when to send an email. I’d also like to know why the delay starts happening without warning and what is triggering it. It’s quite frustrating to have a lot of emails queued when I want them delivered immediately.

Hi @JadaFields. First question - have you asked Support for help? I’d start there if it seems there’s a technical issue.

As for the sending, when you set up the Sequence, do you have the sending hours set up? As you’re sending the emails, is it outside of that time? I’m guessing that’s what you’re referring to with the optimal times to send, so I’m assuming yes.

I don’t believe there’s a setting to turn that off, unfortunately.

Hi Dan. Yes, I have a ticket submitted to Support. My email send window is 5 AM EST - 7 PM EST. So when I started sending emails this morning at 5 AM all of them were being delivered immediately. Then at approx 7 AM EST they just started being queued. I was given no notification. No reason. I just saw that they were no longer sending immediately. And it looks like some are being delayed 5 hours and others only 1 or 2 housr, which is most confusing.

My guess (as a user like you, not a HubSpot employee or product manager) is that the first email sends immediately, then as contacts engage or don’t, the tool begins to make descisions based on their times. So some emails may delay 5 hours because that email is more “engaged with” at that time, while other emails are 1 or 2 hours.

If you’re looking for specific details on this I’d recommend reaching out to Support again and asking all the questions. And keep asking until they answer sufficiently, or they phone a friend. Support has always been helpful in my experience.
