HubSpot - Salesforce Activity Sync Issue.

Hello everyone,

I’m currently running HubSpot with a Salesforce integration, and we’ve been running into challenges with activity logging and task–email automation.

Right now, for activities (calls, meetings, tasks) to successfully sync between HubSpot and Salesforce, they can only be associated with either a Contact or a Company, but not both. To work around this, I’ve been using automations that assign tasks only to Contacts.

However, this creates a visibility problem: when our reps want to view a Company’s activity history, the activities that are only associated with the Contact do not appear under the Company record.

Has anyone found a workaround or bypass for this? Ideally, I’d like a way to add the Company/Contact association post-sync so that activities can be visible under both records without breaking the sync.

Any insight, best practices, or third-party tools that could help would be greatly appreciated.

When an activity (email, call, meeting) is logged on a Contact, HubSpot automatically associates it to that contact’s Primary company, so it shows on both the Contact and Company timelines. Make sure each Contact has the correct Primary company set.

As a super admin, review your activity association settings and adjust automatic association rules so new activities consistently associate to the Primary company: Associate activities with records

If I’m correct, Salesforce integration creates a task from each HubSpot activity and,the task is associated to a single Salesforce contact when there are multiple possible matches. Adding company association in HubSpot for visibility should not break that sync behavior.

For items that don’t auto-associate (e.g., sequence-created tasks), you need to manually associate or rework your process so calls/emails/meetings (which auto-associate) carry most of the activity history at the company level.

Hey @NDumbrique! We’re running into similar issues where activity is not syncing consistently from HubSpot to Salesforce, or if it is, it’s showing under the integration user and not the person who sent the email or scheduled the meeting. Could you share more insights on the workflows you have set up?

I do not believe this is a limitation with the integration. I consult for companies that need help with their HS<>SF integrations, and I’ve got a few active clients that sync activities with multi-object associations via the integration without problem.
There’s a number of reasons that are potentially going wrong here:

  1. There’s an issue with how associations are setup in your integration. Make sure that under each tab (Call, Email, Task, Meeting) that you are using in the sync has it’s associations set properly for both Contacts and Companies. Looks like this:
  2. You have a duplicate problem (which is causing an association problem).
  3. The integration user is lacking the correct permissions in Salesforce.
  4. There is a bug with your integration in which case you’ll need HubSpot’s support. (If it is this, I’m. about 95% confident that their resolution/solution recommendation will just be to uninstall and reinstall the app from your HubSpot instance).
