We’ve created a landing page for our customers to go to, or that we can send, when the customer has a service issue.
On that landing page is a marketing form, when that form is completed with information provided by/from the customer we get notification of such.
What I’d like to do or i’m hoping to do, I’d like to be able to move the submitted form into a folder for our team… (Example: Warranty, Non-Warranty, or TBD folders)
I’m not finding a way to move the submitted form, has anyone had luck with this?
You can move forms into a folder but not form submissions. (To move a form, move your mouse over it on the form overview page, click Actions > Move to folder.)
There aren’t any folders. Form submissions are stored either in the form analytics or on the contact record itself. (Each form field corresponds to a property on the contact record. Submitted forms also create a timeline entry on the contact record.)
If you want to see all relevant form submissions in one place, the form analytics themselves would be the best place. You could group forms into folders but there isn’t any way to see form submissions from multiple forms grouped in one place.
Hey @BThompson1, thanks for sharing! Can you tell us a little bit more about what you’re hoping to accomplish here?
Like @karstenkoehler said, the individual form submissions themselves cannot be moved into a folder — they’re now attached to the contact that submitted the form.
If you’re trying to gather new form submission in one place for your team to review, you could:
Create an active list of all contacts who have submitted the particular form. That list will automatically update as new submissions come through
Create a custom dashboard report for each form that pulls in the submitted form info for each contact
Create a contact view for each form that will filter contacts based on form submission
If you have a Marketing Professional subscription or above, you’ll also have access to workflows and can automate a number of activities once a form submission comes through (i.e., creating a task/deal/ticket, sending an internal notification, updating a contact property, etc.).

@jolle My hope was to take the form submission and move it to a folder for the category it would fall under.
For example if a customer was to submit a form and we decide that it is a warrantable issue, i’d like to move that form into a folder titled “Warranty” and the same for one that is “Non-Warranty.”
@BThompson1 thank you for the additional context! Are you currently using the Service Hub by any chance? This seems like a potential use case for HubSpot’s ticket system. You could create a new ticket when a warrantable issue comes up through a form submission and associate the ticket with the respective contacts. That ticket would then serve as your trackable record on documenting and resolving the issue.
If you don’t have Service Hub or want to avoid using tickets, it sounds like you may be able to track warrantable issues within the contact record (since that’s where the form submission ultimately lives). Maybe you could create a custom contact property that would indicate if the contact has submitted a form with a warrantable issue (you could potentially create a dropdown property that would contain options for the issue type).
You could then filter contacts and create lists based on the set warrantable issue (and the lists could almost serve as folders).
