How can agents view form attachments?

Hi everyone, I’m having trouble with the following issue.

I don’t know how my agents can see all the items that were sent as attachments to a form. Within the lead in prospecting or an contact object, they should be able to read an image or any kind of document.

How can my agent view that document?

Form submissions are tied to contacts, so if anything gets submitted via a form submission, the reps need to check the contact record. In the activity timeline they can filter by form submissions and see what information was submitted.

You can also work with form notifications, but that requires a solid process around contact ownership.

Thanks but I still dont see attachement that contact sent in form sumbission.

What is the name of the file property that is being used on the form?

Do you have access to view that property?

Here are the screenshots of the file properties. I’m a Super Admin and have a full access seat to the HubSpot account, but I can’t even see any files in the contact window of the contact who submitted the form and uploaded a file.

To view attachments that were sent as part of a form submission in HubSpot, your agents can follow these steps:

  1. Find the relevant contact record:
    • Go to CRM > Contacts (or it could be in Companies, Deals, Tickets, or Custom objects depending on where the form submission is associated).
  2. Open the record:
    • Click on the name of the specific record you want to view.
  3. Locate the Attachments section:
    • In the right panel, scroll down to find the Attachments section.
  4. View the attachments:
    • If there are more than five attachments, click Show more to display additional files.
    • To view a specific attachment, click on the name of the attachment. This will open a preview where you can see the document or image.
  5. Manage attachments:
    • You can filter attachments by type or source, search for specific files, and sort them by different criteria such as upload date.

Right now, users can only see attachments within the right panel of the record view. There isn’t a native way to visualize attachments outside of this panel.

I just did a test.

Form with file property.

File attachment on the form submission on the contact record’s activity timeline.

Is there any way to transfer this file to contacts attachements with automation?

No worries @Mat_Cal the whole file property vs attachments thing is a bit confusing in HubSpot. There is nothing I am aware of that allows you to turn a file from file property into an attachment. Personally I also fine attachments a bit of an odd item in HubSpot - they can’t be easily searched, filtered, or used in other tools, so often working with the file property just gives you more options.
