Enable the ability to set up round robin meeting links that include any combination of individual users and custom-defined groups (not just HubSpot Teams), rather than being limited to setting up either group links or individual round robins
Who is it for:
This feature would primarily benefit sales teams. It is especially useful when onboarding or training new sales team members, pairing account owners with another sales rep, or creating a flexible rotation for calls and meetings but this could work a number of scenarios where more than one person is needed for a meeting
Problem this solves:
Current round robin meeting links in HubSpot restrict users to selecting either a group (like a Team) or individual users—not both together. This makes it difficult to create flexible routing for meetings, such as pairing a new hire with experienced reps, or including both owners and support staff in a scheduling link. It also limits the ability to experiment or optimize meeting assignment across a mix of reps or teams for balanced workload or improved customer experiences.
Requested solution:
- Allow admins to configure custom groups (distinct from HubSpot Teams) of users for round robin scheduling.
- Permit combining any mix of custom groups and/or individual users in a single meeting link.
- Ensure that all selected users (across groups and individuals) participate in an even round robin distribution, with the additional option to weigh certain groups or individuals more heavily if desired.
- Provide flexible configuration so users can create round robin links using all groups, all individuals, or any mix, as best fits the sales process or meeting needs.
Example scenario:
A sales manager wants inbound demo requests to be assigned in rotation across the main sales team, a group of new hires, and a few specialized account owners. They could create a round robin link that distributes meetings to all these parties evenly or with weighting to balance training and workload, based on availability.
