Form submission by record source

Hi all,

I want to create segment where contact created through form submission.

So I created active segment with filter is record source is form and record source details 1 as that hubspot form name. Is thisCorrect?

And my doubt is if my form is embeded on website then firm submission done through embeded hubspot form then record source details1 is store actual hubspot form name or something else.

And also how it is different than the “First Conversion”

Hey @vinayakhnr6,

Thanks for bringing this to the Community!

The source detail values can depend on how the contact came in, so it’s worth checking a few test submissions from your embedded form to see what lands on the record. There could be an easier way to filter for this and heres an existing thread that might point you in the right direction:

Tagging in a few folks to see if they have any best practices in this regard!

Hey @Lnorden2, @UlianaV, @rebeccatravels – do you have any suggestions for @vinayakhnr6 on how they can ensure they’re creating an accurate segment?

Thanks!

Your segment is close, but its narrower than it looks.

Record source tells you how the contact record was first created. Record source = Forms with your form in Record source detail 1 only catches contacts that the form created. If someone was imported, came in through chat, or was added by a rep and filled out the form later, they won’t show up, because their record source is whatever created them first.

On the embed question: an embedded HubSpot form still submits to the same HubSpot form, so it’s tracked the same way as a form on a HubSpot page. Before you build on it, do one test submission with a new email address and open that contact’s property history for Record source detail 1. You’ll see exactly what value lands there, and you can filter on that.

First conversion is a different thing. It’s the first form a contact ever submitted, whenever that happened. A contact imported in January who fills out your form in March has a record source of Import and a first conversion of your form.

So pick the filter that matches your question:

  • Everyone who ever submitted the form: use the Form submission filter, Contact has filled out “your form”.
  • Only contacts the form created: Record source is Forms AND First conversion contains “your form name”.
  • Contacts whose first form was this one, however they were created: First conversion contains “your form name”.

Most clients we work with want the first one, and it’s the easiest to keep accurate.

Hi @vinayakhnr6,

If you want contacts in your segment that were created by the form submission, then filtering for Record source = Forms AND Record source detail 1 = [Your form name] of the form is absolutely correct.

And yes, the placement of the form (direct links vs embedded) doesn’t matter here. It will fill the two fields just the same.

If you want contacts by first form submission (regardless of whether they were created by the submission or existed before), you would use “Recent conversion contains any of [your form name]”.

Best regards

Same thing. An embedded HubSpot form is still just a HubSpot form under the hood, so the record source still tags as form. Embedding it doesn’t change anything there.

Record source vs First conversion catches people all the time, though. Record source tracks how the contact was most recently created, whether that was a form, manual add, import, or API sync. First conversion specifically logs the exact form and URL from their first-ever submission. So if someone hits a form today to trigger a create, record source says form, but that First conversion field might still point at something totally different from before.

If you’re building an active list off this, definitely lean on the Record Source Detail 1 filter too. Leaving it as just “is form” pulls in way more clutter than you probably want.
