Form Categorization and Multi-Select

Currently, in workflow triggers and reports, forms are very all or nothing: either selecting that someone filled out one specific form or choosing submissions to all forms.

I would love to be able to add some kind of tag or categorization to forms so that in workflows or reports I could select all white paper downloads, or all meeting links, or all partner submissions instead of having a dozen “or” statements.

For portals that are older and have occasionally hundreds of forms, this would also let us exclude older forms while not deleting them to maintain the data.

Hi @amber-square2,

There is a request like this in the HubSpot Ideas section already: Multi-select forms or ability to use ‘CONTAINS’ in workflow or active list filters

The product team reviews these requests based on their popularity. I’d recommend upvoting and commenting with your perspective as well.

Best regards!

Appreciate it - I hadn’t been able to find it from searching. Bummed to see that that post is over a year old.

@amber-square2 - First, let me say I feel your pain and as strict as I am with naming conventions in my own organization, I would completely agree we need more filters with things like name = or contains.

What I have done to get around this in the past is to create some master forms for the different types of forms that we have. Whether it be stage-based (top of funnel --> etc.), or whether it is activity-based (webinar vs. live event). Then we use the form embed code to customize which asset someone is getting per page. This is arguably easier with pages outside of Hubspot because of the use of the custom embed code which is not accessible via the default form module in the landing pages/website editor of hubspot.

This would only solve for a from here on out scenario, so nothing that was past done would be included in this type of setup. The bigger question is with the degradation of data over time, how useful is that older data to the point where you would no longer need it if you made the switch today? If you can setup an SLA to retire the old data saying it is no longer useful to your scoring or marketing efforts, then you can plan to move away from the current setup to a solve that more closely aligns with your end results.
