Heya!
I have a slightly complex question regarding user permissions.
Here’s a quick overview of our process:
- A deal is first created in the Sales pipeline, where our sales team negotiates terms, fees, and documentation with the client.
- From there, the deal moves into our Onboarding pipeline, where the compliance team takes over and marks it as Closed Won.
Currently, all sales reps can view each other’s deals across the pipelines.
What we’d like to do is restrict visibility once a deal moves into the Onboarding pipeline, so that only the deal owner (and relevant collaborators) can view it, but still allow full visibility among reps while deals are in the Sales pipeline.
Would this be possible to set up?
Hi @KRosero,
As a general recommendation, deals shouldn’t move between pipelines. This is typically a sign that either another object should take over (projects for example) or another deal should be created.
In any case, under Settings - Objects - Deals - Pipelines, you can specify who has access to a pipeline. If I understood you correctly, that would above the access requirements? Set up and manage object pipelines
Best regards!
Greetings @KRosero,
Yes this is technically possible. If you want to restrict visibility in Onboarding pipeline, then you need to modify the user role for the specific pipeline.
You can also do this by team, one team can be Sales Team, and another would be Onboarding Team. You can update this in Hubspot Team, HubSpot default property.
Then modify the user permission for deal access to just to “Deals their team owns”, for all three View, Edit, Delete(Critical only if you want them to), as shown in the screenshot.

Unassigned is optional, mostly used for the ones who are auditing the workflow to check why the deal is not assigned to any owner yet or mistakenly removed association with Contact.
Doing this would give full visibility among sales reps while deals are in the Sales pipeline, and would not see deals when its moved to Onboarding Team or Pipeline.
Hope this helps, if it does then help the community by marking it as a solution. Happy HubSpotting.
Thanks & Regards,
