File format for the communications

For day to day comunications with customers we attach 3D Digital files. However we cannot so this through the conversations tab or within the records on hubspot.

Is this possible through another mean other method via hubspot direct.

Hi @JDavies14,

Thank you for reaching out!

I wanted to share this article on supported file types and sizes in different HubSpot tools. It looks like 3D digital files are not supported yet, but here are two workarounds you could consider:

1) Upload the file to your files tool. Once it is uploaded, you can hover the mouse over the file name and click on Details. There you will be able to copy the file URL, which you can use to share the file.

2) Use an external hosting service like Google Drive, Dropbox, Wetransfer, etc, and share the link to the file with your clients in your communications.

I would encourage you to upvote these related ideas in the Ideas Forum to show your support :slightly_smiling_face:

1) Upload File Types

2) Allow Custom File Extensions in Chat

I also wanted to invite our subject matter experts to see if they have any advice.

Hi @Jnix284, @jolle, @franksteiner79 - Are you aware of any native workarounds or an integration workaround for @JDavies14’s question regarding uploading file types to HubSpot?

Thank you!

Best,

Kristen

Hi @JDavies14, and thanks for looping us in @kvlschaefer , happy to help!

This is the list of supported file types and sizes by product, I share this frequently since it covers the different limits in one place. It might need an update because it doesn’t show SVG as an option for the files tool, but I know that is possible.

I’ve added SVG and WebP to the idea for file types for chat/conversations inbox, I try to send these all the time and can’t.

Whether you can upload to HubSpot files and copy the link, or if you have to host elsewhere and provide a link, I share these files by creating a snippet with the file link so I don’t have to look it up every time. This is helpful for files you share frequently like resources, etc. but if you have to send a unique file 1:1 it’s not going to save you time.

For individual customers, this is what I would recommend:

1 - Create a “rich text” property type for the file type (maybe you have multiple, but something like “draft 1, draft 2, final preview, final” or whatever matches your process).

2 - add these to your About view on the contact record

3 - use each of these properties to add the link for each customer

4 - create a snippet or template using the personalization token for each of the rich text properties

5 - send your files one:one from inbox :slightly_smiling_face:
