Error sending emails in sandbox

Hello,

I am having 2 issues with a workflow in our sandbox account. I had the workflow working, where it sends emails to any contacts that have the label “Collaborator”. Usually, when we create a contact in the sandbox and it has “+ [anything]” , the emails still come through. This was the case with this workflow, however, for some reason it has stopped working for some contacts and I am getting the error “There was an issue sending an email to this contact.” with no reason why. For a few users the emails are being sent, and they also have the “+ [anything”] and the user is the email without the + in sandbox.

The second issue I have, is that I want any contact to enroll when they get added to the deal as “collaborator”, but it should not affect the sequence of actions for the first contact with the label. Any ideas how I can do this?

Hi @SKerrigan5,

I can’t find the documentation right now but if I recall correctly, contacts can only be recipients if their email address matches that of a user in the sandbox exactly. Plus sign email addresses are considered to be different and wouldn’t work.

For the workflow, you would have to create a custom deal property that you increase whenever a contact enrolls. The workflow would branch to check if this number is 1 (no further actions) or higher.

Best regards!

Thanks for your reply Karsten! I’ve seen that before but the weird thing is that emails were being sent to some of my emails with a + in it and seem to have stopped working…

On the custom deal workflow, I want to create my own “custom” sequence, where any contacts with the label “Collaborator” on the deal begin an email sequence until the deal property is at 100% . If any new “collaborator” gets associated to the deal they should begin the sequence from the start, but the first collaborator shouldn’t be affected. Are you able to help with this?

@SKerrigan5 if it has worked before, then that was probably luck - it’s not documented behavior, unfortunately.

I had shared this in my previously reply - the approach with increasing a custom number property. Have you looked into that?

Thanks Karsten. I’m not sure I understand the approach. When there is only one contact with the label “collaborator” on the deal it works fine, but if a second is added to the deal, and I increase a property on the deal by 1 - how can I stop the sequence on the first contact and begin the sequence on the second contact?

I had been using the label “collaborator” to send the emails from the workflow which works fine for one contact, but when I add a second contact it sends the same email to both contacts…

@SKerrigan5 I’m not following. You said “the first collaborator shouldn’t be affected”, in your last reply you said “how can I stop the sequence on the first contact”. Could you specify what exactly you’d like to happen for contact 1, contact 2, contact 3, step by step?

I am essentially creating my own version of a sequence, which ends when the deal property is at 100%. When a contact gets associated to the deal with the label “Collaborator”, I am checking if the deal property is at 100% and if not, I send Email 1 asking them for information. There is then a delay of 3 days and it checks again if the deal property is at 100%, if it is, no further action, if not, then it sends Email 2, and so on with 5 emails.

This “Collaborator” can also add another “Collaborator” to the deal, and in this situation, Collaborator 1 should stop receiving the emails, but Collaborator 2 should begin this sequence, receiving Email 1, 3 days later Email 2 and so on, until the deal property is at 100%. There could potentially be more than 2 collaborators too.

The email template uses deal data so I would ideally like to use a deal workflow rather than a contact one

HubSpot wouldn’t be able to distinguish between two contacts with identical association labels and stop emailing one, start emailing another.

You would either have to remove one association label (triggering unenrollment of the deal from the workflow and enrollment into another), using different association labels for multiple collaborators or rethinking the process entirely.
