Hello,
When our sales employee’s are emailing their clients, occasionally they will ‘cc’ the director in, this is subsiquently creating the director as a contact in the CRM and therefor internal emails are logging in the CRM which we do not want it to do, is there anyway to stop this?
Hello @SKeohan ,
Yes, this is a common issue in HubSpot, but fortunately, you can prevent internal emails from being logged and internal team members from being created as contacts in your CRM.
Here’s how:
Go to: Settings > Marketing > Email > Email Tracking
Under the “Do not track” section, add your internal domain (e.g., @yourcompany.com) or specific internal email addresses (e.g., director@yourcompany.com).
Note: This setting is user-specific, so each sales representative or account user must configure it individually.
Would you like assistance implementing this across your team? I’d be happy to help guide the rollout or provide additional best practices.
Hi @SKeohan
Step 1: Open Your Email Logging Settings
- Click the Settings in the top right of your HubSpot dashboard.
- In the left sidebar, go to:
General → Email → Logging & Tracking
Step 2: Add Internal Email Domains to the “Never Log” List
- Scroll down until you see “Never log emails to these domains and email addresses”
- In the text box, type your internal domain (like
@yourcompany.com)
- Click Add, then Save
At the end
- HubSpot will stop logging emails sent to any internal team members.
- It will also stop creating contacts for internal addresses that are cc’d.
