Email Automation Tips

Hi,

I’d like to create an email automation in which we will be sending emails to 2-3 people in the same company followed up with reminders.

If one of the contacts at a specific company reply to us, how can we make sure that we don’t send out reminder to other people in the same company? Is it even possible to do this with email sequences?

Look forward to your help. Thanks in advance.

Hi @aertem,

This depends a bit on how exactly you would like to set up your emails; as sales or as marketing emails.

You’re mentioning sequences. With sequences, there is a dedicated option for what you’re trying to achieve:

A contact from the same company replies to the sequence email or replies to an email outside of the sequence. This will occur if you selected the Unenroll contacts from the same company checkbox in your sequence settings.

This is explained here: Unenroll contacts from a sequence

Here’s how you set up sequences: Create and edit sequences

If you’re referring to marketing emails, this would require a workflow, available in Professional subscriptions. Create workflows

In such a workflow, you would have to add an exclusion list in the workflow settings of contacts who are associated with a company where at least one contact has already received the reminder.

To create this list, you would have to do the following things:

  1. Create a list of contacts who have received the reminders
  2. Create a list of companies who are associated to contacts from the first list
  3. Create a list of contacts associated with the companies from the list from 2

The list from step 3 is the suppression list for your workflow. The moment one contact from the company receives a reminder, all other contacts from the company would automatically removed from the workflow then.

Let me know if you have any follow-up questions!

Thanks a lot, Karsten. This is what I needed.

Perhaps as a follow up question, how may I personalize an email even if it is part of an automation?

What I mean is not just adding the “personalize” tag inside the email; rather adding a new sentence inside the so-called template specific for a contact?
